Black Sutherland LLP is currently seeking an experienced Litigation Assistant / Clerk (5+ years) to support a Partner (one-on-one) in our fast-paced insurance defence practice. This hybrid role is ideal for a candidate with strong legal assistant and law clerk experience.

Key Responsibilities

  • Maintain up-to-date electronic filing daily
  • Draft, edit, and proofread correspondence and legal documents
  • Manage lawyer's calendar, including scheduling of motions, mediations, pre-trials, and settlement conferences
  • Arrange discoveries and calls, including coordinating with court reporters, interpreters and medical experts
  • Uphold file management standards and deadlines in accordance with firm KPIs to ensure consistency, efficiency, and audit compliance
  • Transcribe dictation with accuracy
  • Track deadlines using a tickler system for limitation periods and procedural steps
  • Prepare and file documents via CaseLines in accordance with court deadlines
  • Assist in the preparation of:
  • Affidavits of Documents
  • Statements of Defence
  • Undertaking Charts
  • Simple Motion Records
  • Potential for review and summary of productions and medical/pecuniary documents
  • Compile materials for Mediation Briefs and complex Motion Records
  • Draft standard correspondence and internal memos
  • Open and close files; prepare legal accounts and requisition cheques
  • Perform general administrative support tasks as needed

Qualifications

  • Minimum 5 years' experience in civil litigation (insurance defence required)
  • Proven ability to independently manage litigation files from open to close
  • Strong knowledge of the Rules of Civil Procedure
  • Excellent grammar, spelling, and written communication skills
  • Strong interpersonal skills to liaise with lawyers, clients, and external parties
  • Sound judgment and ability to remain composed under pressure
  • Exceptional organizational skills and attention to detail
  • Proficiency in MS Word, Outlook, and Adobe Acrobat Pro
  • Experience with PC Law and ACL is an asset
  • Demonstrated ability to learn and adapt to new technology
  • Commitment to confidentiality and discretion in handling sensitive matters
  • Team-oriented approach with the ability to work independently
