Contract Period: 6 months with potential to convert
Pay Rate: $32.80 per hour

Business Hours: Monday to Friday; office hours (37.5 hours per week) with Friday afternoons off

Job Responsibilities:
- Manage all aspects of complex calendar and scheduling requirements, including travel arrangements, both domestic and international.
- Coordinate and plan meetings, including the organization of audiovisual requirements and conferences.
- Upon request, book and prepare rooms (planning, setup, and logistics), and ensure cleanup.
- Prepare and process applicable expense reports and invoices.
- Create and modify presentations, spreadsheets, and organizational charts.
- Greet visitors and ensure compliance with safety regulations.
- Answer and redirect phone calls as needed.
- Provide general information in person or by phone.
- Process and follow up on various mailings and courier deliveries.
- Oversee business meal orders, receive them, and handle setup.
- Order and receive office supplies and maintain inventory.
- Actively participate in organizing local activities (events offered by the social committee, United Way, the HSE committee, etc.).
- Support the Human Resources department with timesheet tracking and accounting and other related tasks.
- Support the Finance department with vendors, invoice processing, coding in the SAP ERP system, and any related tasks.
- Participate in additional tasks as needed, and perform any other related administrative tasks as required.
Experience & Qualification Requirements:
- 3-5 years of administrative support experience
- Bilingual (oral and written) (French and English) This position requires good knowledge of English to interact, support, and/or provide services to international clients, employees, and/or partners, as well as foreign government authorities who do not speak French
- Advanced MS Office skills, including Outlook, Word, Excel, and PowerPoint
- Experience using Concur for business travel management
- Experience in an international and/or complex matrix business environment
- Knowledge of the SAP ERP system
- Basic accounting knowledge
- Be versatile, autonomous, organized, and customer service oriented
- Demonstrate good teamwork and interpersonal skills
- Ability to plan and coordinate activities
- Ability to work in a multitasking environment
- Demonstrate rigor, reliability, and flexibility
