We are currently recruiting for a Business Development Proposal Coordinator to work in person at our headquarters in Ottawa, ON.

What you will be doing

Commissionaires Ottawa is looking for a highly organized and collaborative Business Development Proposal Coordinator to support the development of high quality, persuasive proposals that drive new business opportunities across the public and private sectors.

In this key role, you will lead the coordination, writing, and production of competitive responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and other client solicitations. Working closely with internal stakeholders-including Business Development, Finance, Operations, Contracts, Marketing, and Subject Matter Experts-you will manage timelines, gather content, ensure compliance, and maintain a consistent standard of excellence in all submissions.

You will also support the management of a centralized content library, track proposal outcomes, and contribute to opportunity tracking through our Customer Relationship Management (CRM) system. Some of your responsibilities include

  • Lead and coordinate proposal development from kickoff through final submission, ensuring compliance with client instructions and internal quality standards
  • Analyze solicitation documents to identify deliverables, timelines, evaluation criteria, and compliance requirements
  • Collaborate with internal contributors to gather technical, operational, and financial inputs for proposals
  • Write and edit proposal content to ensure clarity, consistency, and alignment with the organization's tone, branding, and strategic positioning
  • Conduct final reviews to verify formatting, completeness, and compliance prior to submission
  • Maintain and continuously improve a central repository of proposal templates, past responses, and boilerplate content
  • Track opportunities and proposal outcomes using the organization's Customer Relationship Management (CRM) platform, ensuring data is current and complete
  • Prepare client-facing materials such as capability statements, presentations, and supporting documents for business development initiatives
  • Analyze bid results and integrate feedback to improve future submissions and processes

Your must-haves:

  • A diploma or degree in Business Administration, Communications, English, Professional Writing, or a related field
  • Proven experience developing, coordinating, or contributing to formal proposals for public or private sector clients
  • Exceptional English writing and editing skills with the ability to tailor content to align with tone, branding, and strategy. French is considered an asset
  • Strong time management and organizational skills, with the ability to manage multiple simultaneous projects
  • Proficiency in Microsoft Office-especially Word (for formatting and layout), Excel (for costing and tracking), and PowerPoint (for presentation support)
  • Ability to work independently while also collaborating effectively with diverse internal teams and contributors
  • High attention to detail and accuracy in writing, formatting, and interpreting client requirements
  • Working knowledge of procurement and proposal development practices in Canada's public or private sector
  • Proficiency in both official languages (English and French) is preferred
