About the Company

Our client, a reputable international law firm is seeking a Legal Executive Assistant to join their Corporate Legal team in Toronto. This role is integral to supporting Lawyers with day-to-day administrative and executive-level tasks. The ideal candidate will have experience in corporate law, demonstrate sound judgment, and thrive in a fast-paced, professional environment.

Responsibilities

  • Provide executive-level administrative support to lawyers.
  • Manage complex calendars, including scheduling meetings, coordinating with internal departments and external stakeholders.
  • Prepare, proofread, and format legal documents, correspondence, contracts, and corporate filings.
  • Maintain and organize confidential legal files and corporate records, both physical and digital.
  • Assist with corporate governance activities, including minute-taking, resolutions, and board documentation.
  • Coordinate travel arrangements, prepare expense reports, and manage meeting logistics.
  • Track deadlines and ensure timely filings and compliance with corporate regulations.
  • Liaise with clients, external counsel, regulatory bodies, and other stakeholders in a professional manner.
  • Conduct basic legal and corporate research as needed.
  • Maintain confidentiality and discretion in all dealings and documentation.

Requirements

  • Post-secondary diploma or degree in Legal Administration, Paralegal Studies, or a related field.
  • Minimum 5+ years of experience as a Legal Assistant or Executive Assistant in a corporate legal environment.
  • Strong understanding of corporate law procedures and terminology.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with legal document management systems is a plus.
  • Exceptional organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Discretion and professionalism when handling sensitive and confidential information.
