The Position:
This position is in the Collaborative Administration Department (CAD) which is the accounting and administration department of the organization but also independently supports other not for profit charitable organizations across the country, through a shared service model, with their financial and administrative requirements. The duties and responsibilities as outlined are consistent with all external organizations supported by the CAD through a shared service agreement.
The Collaborative Administrative Department is seeking a passionate and experienced individual for the role of Payroll Coordinator. The successful candidate will be a self-starter who can manage multiple priorities in a fast-paced, dynamic environment, supported by a dedicated accounting team. This role in based in the office 5 days a week. Organizational Responsibilities:
- Maintain strict confidentiality regarding business operations, policies, and procedures of Durham Association for Family Resources and supporting organizations.
- Ensure all employee records are complete, up to date, and securely maintained.
- Attend and actively contribute to team meetings.
- Stay informed about relevant legislation (e.g., Occupational Health and Safety Act, WSIB Act, Employment Standards Act, PIPEDA, Ministry guidelines) and ensure payroll practices remain compliant.
- Foster positive and professional relationships with staff, families, volunteers, CAD clients, service providers, and community members.
- Remain informed about current trends and best practices in the field.
Health and Safety:
- Support the development and coordination of ongoing health and safety activities and employee training.
- Assist in implementing and promoting safe work practices.
Payroll Responsibilities:
- Ensure all payroll input documentation is accurate, complete, authorized, and compliant with applicable legislation and internal policies.
- Accurately enter payroll data according to client payroll schedules into the third-party payroll system.
- Verify that payroll data has been correctly processed by the payroll provider and take timely action to resolve any discrepancies before deadlines.
- Respond to payroll and benefits inquiries from employees and provide relevant information to supervisors as needed.
- Complete all required payroll-related reports and submissions, including but not limited to WSIB
- Record premiums, RRSP contributions, United Way donations, vacation pay summaries, Records of Employment, garnishments, support remittances, and funder reports.
- Comply with all policies, procedures, and practices of Durham Association for Family Resources and Support.
Financial Accountability and Administration:
- Generate and provide payroll-related reports and statistics to management as required.
- Prepare payroll accounting data for submission to the Finance Department.
- Maintain all documentation and files in a professional and strictly confidential manner.
What Makes You the Ideal Candidate
- Training in a related discipline such as Business Administration, Canadian Payroll Association certification, or equivalent education and experience.
- Minimum of five years of experience in payroll and benefits administration.
- Proven experience with automated payroll systems, including maintenance and operation.
- Strong knowledge of compensation, benefits, and payroll policies, procedures, and processes, as well as related legislative requirements.
- Excellent written and verbal communication skills.
- Proficient in software programs such as Microsoft Excel and Word.
- Demonstrated understanding of, and commitment to, the organization's mission and guiding principles.
- Dedication to client satisfaction, personal development, and community inclusion.
- Strong problem-solving skills with the ability to develop and implement effective solutions.
