The PsychoEd Clinic is a growing psychology practice with several locations in the Greater Toronto Area and beyond, specializing in academic-grade assessments for child learning disabilities and adult ADHD. Through our network of trusted referral partners, our patients can access a wide range of additional resources-from psychiatric care, to dietary interventions, to support with navigating special education programs in public schools. We pride ourselves on our industry-leading implementation of cutting-edge technologies, including artificial intelligence, to improve workflows and reduce the tedium of clinicians' processes. This allows them to focus their energy where their specialized skills and experience can be best leveraged to improve patient outcomes.

We are seeking a Business Manager to join our leadership team, drive our next stage of growth, design and implement more efficient and consistent processes, and utilize a range of technologies to create a more automated and scalable operation.

About the Role

This role is ideal for a strategic thinker and systems builder who will oversee day-to-day operations, support clinic expansion, lead recruitment initiatives, manage partnerships, and implement streamlined, highly secure tech-enabled processes. Their objective will be to build an operation that is cost and labour efficient, runs smoothly, and delivers the best possible outcomes for our patients with outstanding consistency - nobody falls through the cracks.

Key Responsibilities

Operational Leadership

  • Lead and standardize daily clinic operations across multiple locations
  • Improve and document internal workflows to support clinical and administrative efficiency
  • Coordinate schedules, internal communication, and utilize software tools to track a variety of KPIs
  • Oversee the migration of intake, consent, and screening processes to in-house Microsoft tools (e.g., Forms, Power Automate)
  • Collaborate on the integration of AI tools to streamline documentation, triage, and communication
  • Ensure systems are user-friendly, secure, and accessible

Staffing & Recruitment

  • Lead the recruitment and onboarding of new clinicians and support staff
  • Implement structured onboarding and retention strategies
  • Cultivate a collaborative, high-performing team culture

Partnerships & Service Launch

  • Develop and maintain partnerships with referring physicians, university accessibility offices, and other community stakeholders
  • Support the rollout and promotion of new service offerings, including psychiatry-supported ADHD care

Strategic Growth & Leadership

  • Collaborate with the Clinic Director on business planning, budgeting, and expansion strategy
  • Monitor clinic KPIs and contribute to quarterly performance reviews
  • Serve as a key thought partner in evolving clinic infrastructure and service delivery

Qualifications

Required:

  • Experience in clinic/business operations, healthcare management, or a related leadership role
  • Strong organizational and systems-thinking skills
  • Experience implementing digital tools and optimizing workflows, including automation tools such as Microsoft Power Automate and AI agents
  • Excellent interpersonal communication and personnel management skills
  • A strategic mindset with comfort in both execution and leadership
  • Understanding of mental health services and the field of clinical psychology

Preferred:

  • Experience in a private mental health or interdisciplinary clinic setting
  • Master's degree in Healthcare Management or a healthcare-related field
  • Familiarity with Microsoft 365 tools, cloud-based scheduling, and EMRs
  • Interest in or lived experience related to neurodiversity
  • Knowledge of inclusive and accessible service design
  • Comfort with change management and technology adoption (including AI)
