The Opportunity:
We are looking for a confident and highly organized Office Manager to provide maternity leave coverage for a 12-month period. This is a unique opportunity to play a pivotal role in managing the day-to-day operations of Merge Spaces, supporting both our co-working community and LCH Developments' internal team. The successful candidate will be responsible for overseeing front desk operations, member management, space maintenance, contracts, and billing.
Responsibilities:
Space & Member Management
• Act as the first point of contact for all Merge Spaces visitors and members.
• Monitor member satisfaction and address inquiries, feedback, and issues promptly.
• Maintain a clean, organized, and welcoming workspace for both LCH staff and co-working members.
• Monitor usage, ensure compliance with house rules, and troubleshoot any facility issues.
Front Desk & Administrative Duties
• Greet visitors and manage incoming mail, calls, and emails.
• Manage daily office operations, supply orders, and general upkeep.
• Coordinate with cleaners, vendors, and building management as needed.
• Support the LCH team with basic admin support when required.
Contracts & Billing
• Prepare and manage membership contracts for Merge Spaces members.
• Maintain up-to-date records on memberships, renewals, payments, and terminations.
• Liaise with accounting to ensure accurate billing and collections.
Community Engagement & Member Acquisition
• Promote Merge Spaces to potential members via tours, outreach, and networking.
• Assist in marketing efforts including social media updates, local events, and partnership development.
• Host occasional community events or meetups to build a strong member culture.
Qualifications:
• 2+ years of experience in office administration, hospitality, or space management.
• Excellent communication and interpersonal skills.
• Highly organized with strong attention to detail.
• Comfortable using office tools such as Google Workspace, Microsoft Teams, Microsoft 356.
• Self-motivated, proactive, and able to work independently.
• Fast learner, and able to learn our systems and take on new challenges
•Experience in co-working or property management is a strong asset
