Reporting to the Procurement Manager, the Procurement Coordinator will play a key part in enabling efficient purchasing operations and aligning product data across the organization by ensuring the accurate entry and update of product records within the ERP system, facilitating information flow between Procurement, Marketing, and other teams, and supporting purchasing continuity during absences

Key Responsibilities

Maintain item master data in the ERP system, including new product creation, updates, and

discontinuations

Enter and update item-level details such as vendor information, and lead times.

Monitor and track backorders; follow up with suppliers for updates and communicate with internal

stakeholders

Act as liaison with the Marketing team for new product launches, product updates, and discontinued

item notices

Support purchasers in generating purchase orders and reviewing vendor confirmations as needed

Participate in vendor follow-ups to resolve delivery delays or missing product data

Collaborate with the Supply Chain & Procurement teams to ensure system accuracy and alignment

across departments

Cross-train in core purchasing tasks to provide vacation or absence coverage

Assist in maintaining organized documentation of item data and procurement communications

Required Skills & Competencies

Attention to detail and accurate data entry

Strong communication and follow-up skills

Ability to manage recurring tasks while meeting deadlines

Proficiency in multitasking and managing shifting priorities

Comfort working with ERP systems and Microsoft Office tools

Accountability for timely and accurate data maintenance

Clear and collaborative communication with internal teams

Systematic approach to tracking product and order data

Flexibility to support multiple stakeholders with varying needs

Education & Experience

Post-secondary training in Business Administration, Supply Chain, or a related field an asset

1-2 years in administrative, purchasing, or supply chain support roles

Experience with Microsoft Dynamics 365 Business Central or similar ERP platforms preferred

Familiarity with working in regulated or inventory-driven environments is an asset
