The Business Operations Coordinator supports the seamless functioning of Juno Engineering office and team operations. This role combines administrative support, event coordination, Human Resources (HR) process execution, Health Safety and Environment (HSE) documentation coordination, and project team assistance. Reporting to the Projects Team Lead, the role acts as an executional link across multiple departments, ensuring internal processes are followed, employee onboarding and engagement are smooth, and administrative needs are met efficiently.

This position is fully office-based and ideal for a detail-oriented, service-focused professional who enjoys a varied scope of work in a fast-paced consulting environment.

Key Responsibilities:

General Office and Administrative Support:

a) Maintain office organization, inventory, and supplies

b) Coordinate incoming and outgoing mail and courier deliveries

c) Manage filing, scanning, data entry, and document formatting

d) Support IT vendor coordination for workstation setup and software provisioning

HR Process Support

a) Execute onboarding and offboarding checklists and documentation

b) Schedule welcome meetings, ensure orientation sessions are completed

c) Maintain HR records and assist with benefits documentation coordination

d) Liaise with leadership on personnel change communications and documentation

HSE Program Coordination:

a) Maintain safety training records, certifications, and compliance documentation

b) Schedule HSE training sessions in coordination with outsourced HSE provider

c) Ensure Juno procedures and updates from external HSE advisors are communicated internally

Events and Team Engagement:

a) Plan and execute internal events including client events, team lunches, training days, and all-hands meetings

b) Coordinate logistics: booking venues, organizing catering, and sending communications

c) Track team birthdays, anniversaries, and support internal culture initiatives

Project and Document Support:

a) Format reports, assist with scheduling meetings, and coordinate project documentation

b) Maintain shared project folders and ensure version control of internal documents

Qualifications and Requirements:

Education and Experience:

a) A high school diploma required.

b) Certificate or diploma in business administration or a related field preferred

c) Minimum 3 years experience in an administrative or operations coordination role, ideally in a consulting, engineering, or project-based environment.

Technical Skills:

a) Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

b) Experience with PDF editing software (e.g., Adobe Acrobat, Bluebeam).

c) Comfortable using scheduling tools and maintaining shared document systems

Non-Technical Skills:

a) Excellent communication and interpersonal skills

b) High attention to detail and accuracy

c) Strong organizational and multitasking ability.

d) Proactive mindset and willingness to support a range of teams and functions.

Working Environment:

a) Full-time, office-based role (Calgary).

b) Physical requirements typical of an office working environment, including sitting for extended periods, using office equipment, and occasional lifting of office supplies.
