Franklin & O'Brien Legal Services is a law firm based in Montreal, Quebec, with a vast network of clients and partners worldwide. We provide commercial collection legal services to creditors and collection agencies all over the world, on a contingency fee basis, both in Canada and worldwide.
Role Description
This is a full-time, remote (home office) role, for a Legal Assistant / Office Manager, for the firm's Canadian Claims Division. Candidate is required to be located in Montreal and have a driver's license (to pick up mail at our PO Box every 3 days).
Functions include:
- opening and closing files,
- communicating with clients and debtors,
- tracking settlement agreements (and debtor payment plans),
- Accounts payable and receivable, including day-to-day banking, remits and receipts of funds from debtors, clients and partner firms, in USD, CAD and foreign currencies (we primarily use WISE and Scotia Connect).
- File management, on the Firm's cloud based case management platform,
- reporting (daily) to Firm's outside accountants on transactions made in trust and in general accounts,
- general back office administration.
- Attending (twice per week) the Firm's P.O. Box (Canada Post Snowdon) to collect mail,
- depositing cheques in the correct accounts.
Qualifications
- MUST BE LOCATED IN OR AROUND MONTREAL WITH DRIVER'S LICENSE (to attend at P.O. Box twice per week)
- Bilingual (French and English, both at a professional level)
- Strong experience with administrative and clerical work, preferably in legal field.
- Autonomous with various banking platforms and procedures (in CAD, USD and other currencies), including wire transfers, international money transfers (IMT), electronic fund transfers (EFT) and ACH on banking platforms such as ScotiaConnect and WISE.
- Strong phone and email Etiquette and Communication skills.
- Experience in legal and office clerical and administration.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Quick learner on technology and cloud platforms
- Ability to multitask and prioritize workload effectively
- Excellent organizational and time management skills
- High attention to detail and accuracy

Remuneration and benefits:
This is a fully remote position, but the candidate must reside in Montreal, Quebec. We offer competitive salary, a four-day work week (Fridays off), office allocation money, competitive vacation time and so on.
