Reporting to the Director of Facilities and Support Services within the division of Mental Health and Addictions, the Manager of Administrative Services provides leadership, supervision, and management of Administrative and Financial services within Hillsborough Hospital, with divisional responsibilities as well. The Manager is responsible for the planning and administering of administrative services within Hillsborough Hospital including Medical Records, Human Resources, Accounts Payable, Accounts Receivable, Scheduling and Timekeeping. The Manager's duties include but are not limited to:
Duties will include:
- Provide leadership, supervision, and management of the Administrative Services of Hillsborough Hospital.
- Assigning workload to team members and reorganizing as needed.
- Approve vacation and other leave.
- Evaluate completed work and workflow processes.
- Determine budget requirements and maintain accountability for unit responsibilities.
- Provide direct supervision of accounts payable personnel within Hillsborough Hospital.
- Oversee the accurate and timely payment of all outstanding invoices, and monitor all purchases made within both facilities. Oversee the input of financial data (accounts payable Invoice entry, purchase requisitions) to Oracle Financial System.
- Ensuring compliance with tendering and contract procedures for all purchases. Develop requests for proposals as needed.
- Providing direct leadership, supervision of scheduling/ payroll personnel, assigning responsibilities, and providing support.
- Responsible for the medical records functions within Hillsborough Hospital.
- Provide direct supervision of medical records personnel at Hillsborough Hospital.
- Ensure the safety and security of all patient records following facility policies, accreditation standards, and statute requirements.
- Review and authorize application for funding requests for Staff Development and Continuing Education Initiatives.
- Responsible for the maintenance and storage of all administrative and financial files for Hillsborough Hospital.
Minimum qualifications:
- University degree with extensive experience, in Business Administrative or related discipline.
- Demonstrated equivalencies will be considered
- Management and leadership training.
- Extensive knowledge and experience in the areas of administration, budgeting, finance, and human resources.
- Proven ability to plan and organize multiple resources.
- Strong interpersonal, organization, communication, collaboration, conflict resolution, and team-building skills.
- Knowledge and experience working with specialized computer programs including Oracle Financial Systems; Quattro Pro and Excel Spreadsheets; Access and Paradox databases; and word processing program(s).

Salary Range: $36.37 -$45.45 per hour (Level 18)
