Are you a proactive and organized professional with a knack for scheduling and customer service? Our client, a well-established leader in the property management industry, is looking for a Maintenance Services Coordinator to join their team on a temporary contract basis.
About the Role:
In this role, you'll be the key point of contact for all maintenance-related requests, ensuring timely communication between residents, internal teams, and vendors. You'll thrive in a busy, fast-paced environment where no two days are the same.
Key Responsibilities:
- Manage and track incoming maintenance requests via phone, email, and in-person channels.
- Input and update work orders in Salesforce to ensure accurate records.
- Coordinate and prioritize maintenance tasks with internal and external teams.
- Follow up with residents to ensure clear communication and issue resolution.
- Process vendor and trade invoices using DocuWare, including coding and authorization.
- Assist with contractor scheduling and prepare correspondence regarding suite access, inspections, and work scope.
- Support a collaborative team culture and contribute to community initiatives.
What You Bring:
- Intermediate proficiency with Microsoft Office (Excel, Outlook, Word) and comfort with database systems.
- Strong communication skills, both written and verbal, with excellent phone etiquette.
- Experience in a fast-paced, customer-focused environment.
- High attention to detail and the ability to juggle multiple schedules.
- Knowledge of property management processes, building/fire codes, or the Residential Tenancies Act is a bonus.
- Strong problem-solving skills and the ability to navigate urgent issues effectively.
- Experience reviewing quotes and managing vendor interactions is an asset.
