SUMMARY OF THE ROLE
Reporting to our Senior VP of Development, you will be an accomplished Development Administrator with a minimum of 5 years' experience who is looking to be a part of an exciting team. The ideal candidate will play a key role in enhancing the Development team's customer service objectives by providing administrative support on project related requests.
This individual will have a strong focus on people and team dynamics, with an emphasis on strengthening relationships and promoting synergy within the team.
WHAT YOU'LL DO
Executive Administration & Support:
- Provide proactive administrative support to the SVP of Development including calendar management and task prioritization.
- Manage the SVP of Development's inbox by flagging action items and organizing relevant attachments.
- Prepare and proofread correspondence, reports, presentations, agendas, and meeting minutes.
- Handle general administrative tasks such as expense reports, scanning, copying, and courier coordination.
- Organize team events, coordinate meetings, and manage restaurant reservations as required.
- Other duties as assigned.
Divisional and Departmental Coordination and Administration:
- Collaborate with the SVP of Development and team on the creation and implementation of departmental initiatives and annual goals.
- Ensure timely completion and distribution of monthly, quarterly, and annual reports by coordinating timelines, following up on progress, formatting content, and scheduling necessary discussions.
- Track key departmental deadlines, including conferences, agreements, and critical milestones.
- Develop proficiency in Yardi software and related workflows to provide day-to-day support and troubleshooting.
- Use Canva to create visual materials for presentations and reports.
- Assist in creating and maintaining training manuals and playbooks to support team consistency and development.
Administration & Coordination of Culture Initiatives:
- Collaborate with the Development division in the planning and coordination of team events, team training, and other culture initiatives.
- Drive Royop's Onboarding & Mentorship Program at the division level.
- Support Royop's Onboarding & Mentorship Program by introducing new team members to file systems, templates, branding, and key resources.
WHAT YOU'LL HAVE
Qualifications & Technical Skills:
- 5+ years in an administrative capacity.
- Administrative experience in Project Management, Engineering, Business, Real Estate, Facilities Management, Construction, Development, or related discipline is preferred.
- A certificate, diploma, or degree in administration or a related discipline.
- Intermediate to advanced proficiency in Microsoft Office suite including Outlook, Word, and Excel.
- Intermediate to advanced proficiency in Adobe Pro.
- Experience with Canva or design software is an asset.
- Advanced writing and proof-reading skills.
- A strong service orientation to support the team and internal clients by responding to requests efficiently and effectively.
- A desire to be one step ahead, take initiative, and find solutions.
- An eagerness to champion and promote Royop's organizational culture and values.

- A professional approach (attitude, appearance, and demeanor), solid motivation, flexibility, and a strong desire to be an enthusiastic team player.

JOB LOCATION & CONDITIONS
- Working out of our Calgary head office in the beltline, during regular business hours (8:30 AM to 4:30 PM) with the expectation to be available afterhours or on weekends for Marketing related special events. These events will be communicated in advance and lieu time will be provided.
- Flexible hours are available depending on workload and deliverables.
- Some out of town or offsite travel may be required from time to time.
- This job requires the individual hired to maintain the ability to work from a remote location during pandemic related situations by having access to a proper working computer and a secure and strong internet connection. Royop will provide the means to log onto our work systems.
