What You'll Do
Client Operational Support
- Coordinate and support client onboarding and offboarding processes.
- Partner with Fractional COOs to support and improve client operations.
- Use various project management tools, CRMs, and automation platforms to streamline workflows.
- Document, update and refine standard operating procedures.
- Provide analytical and technical support to guide client decisions.
- Assist with HR-related operational tasks as needed.
- Support the rollout on new operational strategies across teams to ensure successful adoption.
Internal Administration Support
- Support internal project management needs, leveraging internal tools and implementing processes as needed.
- Ensure team members and contractors are trained on internal tools and processes.
- Help develop and manage client proposals, contracts, and proactive contract renewals.
- Support financial operations, including invoicing and expense tracking.
- Manage internal calendars and administrative needs for senior leaders as needed.
What You'll Bring
Skills & Attributes
- Proven experience in business operations, process improvement, or business analysis, with a focus on supporting senior leaders.
- Strong organizational skills and a proactive mindset.
- Able to manage multiple priorities and adapt to changing demands in a fast-paced environment.
- Comfortable using project management tools, CRMs, automation platforms and reporting tools, and eager to explore new technologies to support and elevate business and client needs.
- Excellent communication skills.
- Strong analytical and problem-solving skills.
- Able to work both independently and as part of a collaborative team.
- High emotional intelligence and empathy, enabling you to build strong relationships with clients, teammates, and contractors.
Education and Experience
- Bachelor's degree in Business Administration, Operations Management, Business Analysis, or a related field.
- 2 - 4 years of experience in a related role, such as Executive Assistant, Office Administrator, Business Operations Specialist, Project Manager or Business Analyst
- Proven experience in client-facing roles, ideally in consulting or operations, where you've worked closely with stakeholders to solve business challenges.
- Experience supporting senior leaders or executives in an administrative capacity.
- Familiarity with tools like Microsoft 365, Google Workspace, CRMs (i.e. Salesforce, HubSpot), project management tools (i.e. Asana, Trello, ) or automation platforms. Any technical certifications in these tools are a plus.
- Project Management or Business Analysis certifications (PMP, CAPM, CBAP, etc.) are a plus, but not required.
- Legally able to work in Canada, preferably located in Regina, SK.
- Must hold a valid driver's license and be comfortable traveling to client sites.
