Poetry Living has long been a trusted name in the homebuilding industry, and its high-rise division is taking that same commitment to quality and craftmanship to new elevations. With the success of CityPointe Heights in Brampton, Poetry Living is continuing its mandate to bring homeowners condominiums in prime locations across the GTA We are conveniently located in Vaughan close to the 407 and 427 directly off Highway 50.

The Role:

As a Client Experience Move-In Concierge, you will play a crucial role in ensuring a seamless transition for homeowners as they move into their new units. You will be responsible for providing exceptional customer service, managing key release processes, and assisting homeowners with their post-delivery inquiries. Your role will require excellent organizational skills, attention to detail, and the ability to communicate effectively with purchasers, trades, and internal teams.

Here is what you will focus on:

  • Assisting the on-site client experience team with the move in/key release process
  • Sending follow-up emails once PDI is completed to advise of next steps
  • Schedule a key pick up time with purchasers on the day of occupancy (once keys are released)
  • Walk through the unit prior to key pick up, to ensure the unit is clean and any major issues are addressed and or reported
  • Do a walkthrough of the unit at the scheduled time with the purchaser and include the following key steps:
  • Go through the PDI with the purchaser to show which items are outstanding and which items have been completed
  • Report any new major issues that were not reported on the PDI (i.e. a cracked tile that was not noted on PDI, but is seen during the key release)
  • Do a thorough explanation on any key items in the unit (i.e. water shut off valves, filters, etc.)
  • Give a brief overview of the Tarion process
  • Go over the contact information for the on-site office and the key contacts
  • Answer any questions purchasers may have
  • Sending a follow-up email of items signed off, outstanding and new items that may have been noted during the move-in inspection
  • Assist the on-site client experience coordinator with PPDI inspections-which includes color chart verifications
  • Complete a 15 day follow up with purchasers post move in
  • As and if needed also perform the following tasks:
  • Walking with trades
  • Supervising trades during repairs
  • Assisting with notices
  • Reporting completed items
  • Keeping track of items on order and completion of outstanding items
  • Updating Newstar as required
  • Sending follow up emails
  • Preserving a good relationship with the trades
  • Maintaining a good relationship with homeowners
  • Ensuring units are left in a clean condition
  • Reporting any damages or issues that arise during repairs
  • Maintaining completed work orders
  • Filing and or marking off any completed work orders
  • Preparing homeowner gifts
  • Dropping off homeowner gifts
  • Any other miscellaneous tasks required to assist with the operation of the on-site client services office (i.e., organization, tidying, etc.)

  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Ability to handle multiple tasks and work in a fast-paced environment
  • Previous experience in customer service, property management, or a related field is an asset
  • Proficiency in Microsoft Office and experience with Newstar is an advantage
  • A proactive and solution-oriented approach to problem-solving
  • Ability to work collaboratively with internal teams and external stakeholders
  • Willingness to go above and beyond to ensure a positive move-in experience for homeowners
