Join Our High-Energy HVAC Team as a Service Dispatch Specialist!

At the heart of our mission is delivering top-tier service and comfort to our customers - and our dispatch team makes that possible every day. We're looking for a Service Dispatch Specialist to join our dynamic operations team. Reporting to the Dispatch Operations Manager, you'll be the vital link between our technicians and customers, helping to coordinate service calls, streamline schedules, and ensure an exceptional experience from start to finish.

What You Will Do:

You'll manage the end-to-end dispatch process: from scheduling and equipment coordination to real-time service updates and final paperwork. Your goal? Keep operations running seamlessly.

Key Responsibilities

Daily Dispatch Operations:

  • Confirm technicians have received their daily schedules.
  • Review and update services in the system within a timely manner.
  • Monitor schedules and manage same-day service requests and installation assignments.
  • Manage service related emails, calls, and escalations.
  • Track technician routes and ETA, keeping customers informed in real time.
  • Manage standby lists, callbacks, and delayed job scenarios effectively.

Customer Service & Coordination:

  • Serve as the communication bridge between customers, technicians, and internal teams.
  • Collaborate with installation experts to ensure smooth coordination of service delivery.
  • Handle service updates, schedule changes, and customer escalations with professionalism.

Administrative & Technical Support:

  • Maintain accurate records of service history, inspection follow-ups, and parts tracking.
  • Upload service documents, track damage claims, and monitor warranty parts and returns.
  • Order and confirm parts availability from suppliers.
  • Audit account notes and prepare schedules/equipment for upcoming days.

Installation-Specific Responsibilities:

  • Coordinate installations 72 hours ahead, ensuring technician availability and equipment availability
  • Verify equipment availability and match it with the appropriate technician skillset.
  • Review and confirm special requests or custom installation needs.
  • Ensure smooth day-of-install execution by coordinating all logistical details in advance.

What We're Looking For:

  • Strong communication and organizational skills.
  • Ability to multitask and manage priorities effectively in a fast-paced environment.
  • Proactive problem-solver with a customer-first mindset
  • Attention to detail and data accuracy.
  • Experience with scheduling, dispatch, or customer service (preferred).
  • Proficiency in Microsoft Office (especially Excel, Outlook, and Word).
  • Data Entry & Management: Accurate and timely data entry skills, with an eye for detail in maintaining logs, schedules, and customer information.
