Marketing & Client Servicing Assistant

Location: Montreal, QC

About the Role

We're seeking a detail-oriented Marketing & Client Servicing Assistant to support our investment management firm's business development, client relations, and daily operations. This multifaceted role offers exposure to executive leadership, hands-on project management, and opportunities to contribute to key initiatives in a dynamic environment.

Key Responsibilities

Business Development Support

  • Complete business development and client questionnaires
  • Update and maintain marketing documents and external databases
  • Conduct competitive analyses and market research
  • Assist the CEO with scheduling, email follow-ups, and database management
  • Draft, review, and distribute research updates, portfolio communications, and client correspondence
  • Prepare marketing materials and quarterly investor updates

Client Servicing

  • Manage end-to-end client onboarding, ensuring all documentation is collected and properly filed (electronically and physically)
  • Serve as first point of contact for client inquiries, responding promptly and professionally
  • Assist with monthly and quarterly reporting requirements

Operations & Administrative Support

  • Ensure smooth office operations including mail, email, and phone management
  • Review and maintain client and service provider contracts
  • Implement and maintain organized filing systems for all documents
  • Manage office supplies and coordinate with service providers
  • Prepare for, conduct, and follow up on operations meetings

Ad Hoc Projects

  • Support CEO and team members with special projects as needed
  • Continuously identify opportunities to improve processes

Qualifications & Skills

Required:

  • Bachelor's degree in math, engineering, science, or related field
  • 1-3 years of relevant professional experience
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication abilities
  • Proven ability to multitask and adapt in a fast-paced environment
  • High level of professionalism, integrity, and discretion
  • Self-starter with excellent judgment and problem-solving skills
  • Team player with eagerness to learn and contribute ideas
  • Quantitative skills with ability to analyze data and improve processes

Preferred, but not required:

  • Technical background with strong Excel skills (coding/programming knowledge a plus)
  • Experience in fund administration, trading, or investment management back-office
