Reporting to the Senior Vice President, Major Projects & Business Development, the Senior Administrator will be responsible to support the daily operations, coordination and communication across teams within our organization along with stakeholders within the industry. With a strong foundation in Marketing, the Senior Administrator will fuse administrative excellence with Marketing insights to enhance efficiency and brand alignment across the Major Projects division.

Primary Scope of Role :

  • Provide administrative support to Senior Leaders and cross-functional teams, including scheduling meetings, managing calendars, email distribution lists, invoice processing, expense reports and document preparation.
  • Support project tracking, meeting minutes and communication along with ensuring timelines and deliverables are met.
  • Create, edit and support with the composition of technical project submissions such as presentations, reports, and promotional materials within the Major Projects division.
  • Manage company wide assets, branding and signage.
  • Prepare correspondence for internal and external communications.
  • Organize and manage internal and external events.
  • Handle confidential information with a high degree of professionalism and discretion.
  • Other duties as assigned.

Position Requirements :

  • Bachelor's degree in Marketing, Business Administration, Communications or related field.
  • 5 years experience in an administrative role, preferably exposure to marketing functions.
  • Experience working in Excel, Word and PowerPoint.
  • Well-developed written and verbal communication skills with an ability to communicate with employees at all levels.
  • Strong organizational and time management skills in a fast-paced environment
  • Ability to work independently and in a team-oriented environment.
  • Initiative, self-motivation and adaptability
  • Results-driven with an ability to deliver success in a fast-paced environment.
  • Strong ability to effectively prioritize and manage multiple competing priorities.
  • Demonstrate versatility and resourcefulness in overcoming business challenges.
