General Administrative Assistant

A Day in the Life of a General Administrative Assistant at RocMar:

  • Serve as the first point of contact for RocMar Engineering, providing professional reception and administrative support to the Office Manager, management, and staff.
  • Answer and direct incoming calls, take messages, and respond to internal and external inquiries.
  • Acknowledge new assignments and set up new projects for the appropriate division.
  • Maintain accurate and up-to-date project documentation across all departments.
  • Provide exceptional customer service to clients by addressing inquiries and concerns regarding ongoing projects.
  • Manage email correspondence, ensuring timely distribution of documents and compliance with internal protocols.
  • Support the Senior Forensics Team by maintaining project spreadsheets and records, obtaining Fire Department Authorization Forms and Incident Reports.
  • Oversee forensic evidence storage inventory, documentation, and invoicing communication.
  • Organize project files, upload photos, and maintain internal documentation systems.
  • Review and enter third-party lab fees and vendor invoices into BQE software.
  • Assist the engineering team with permit-related expenses and documentation in BQE.
  • Receive and distribute incoming mail and packages; prepare outgoing courier shipments.
  • Follow up on outstanding accounts receivable, provide clients with fee breakdowns, and maintain detailed records.
  • Assist the Office Manager with office supply inventory, equipment maintenance, and other general office tasks.
  • Perform additional administrative tasks and special projects as required.

What You Bring to the RocMar Team:

  • Post-secondary education or Bachelor's degree preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Canadian work experience is required.
  • At least 2 years of relevant administrative experience in a professional office setting.
  • Experience in the restoration industry an asset.
  • Strong attention to detail and a high degree of accuracy.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal English communication.
  • Excellent time management and ability to prioritize the workday.
  • Ability to maintain confidentiality of records and client information.
  • Willingness to learn and support a growing team.
