General Administrative Assistant
A Day in the Life of a General Administrative Assistant at RocMar:
- Serve as the first point of contact for RocMar Engineering, providing professional reception and administrative support to the Office Manager, management, and staff.
- Answer and direct incoming calls, take messages, and respond to internal and external inquiries.
- Acknowledge new assignments and set up new projects for the appropriate division.
- Maintain accurate and up-to-date project documentation across all departments.
- Provide exceptional customer service to clients by addressing inquiries and concerns regarding ongoing projects.
- Manage email correspondence, ensuring timely distribution of documents and compliance with internal protocols.
- Support the Senior Forensics Team by maintaining project spreadsheets and records, obtaining Fire Department Authorization Forms and Incident Reports.
- Oversee forensic evidence storage inventory, documentation, and invoicing communication.
- Organize project files, upload photos, and maintain internal documentation systems.
- Review and enter third-party lab fees and vendor invoices into BQE software.
- Assist the engineering team with permit-related expenses and documentation in BQE.
- Receive and distribute incoming mail and packages; prepare outgoing courier shipments.
- Follow up on outstanding accounts receivable, provide clients with fee breakdowns, and maintain detailed records.
- Assist the Office Manager with office supply inventory, equipment maintenance, and other general office tasks.
- Perform additional administrative tasks and special projects as required.
What You Bring to the RocMar Team:
- Post-secondary education or Bachelor's degree preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Canadian work experience is required.
- At least 2 years of relevant administrative experience in a professional office setting.
- Experience in the restoration industry an asset.
- Strong attention to detail and a high degree of accuracy.
- Excellent organizational and multitasking abilities.
- Strong written and verbal English communication.
- Excellent time management and ability to prioritize the workday.
- Ability to maintain confidentiality of records and client information.
- Willingness to learn and support a growing team.
