THE OPPORTUNITY: ARCX is looking for Administrative Assistant to join our team. This position will report to the Controller.
You will be responsible for organizing and coordinating office administration and procedures in order to ensure efficiency, safety, and adherence to company policies. Highly organized and accurate, you are able to work independently and exercise good judgement. As the first point of contact for staff and clients, you will be responsible for the management of office operations while maintaining a professional manner. This position is not remote, and required to work on-site in our Markham office.
KEY RESPONSIBILITIES:
- Develop and recommend office policies and implement procedures to streamline administrative practices.
- Maintain organized record-keeping systems, including confidential personnel files and inventory records.
- Manage office supplies and equipment inventory; coordinate orders and deliveries.
- Oversee maintenance and service contracts for office equipment (e.g., photocopiers, fax machines).
- Coordinate office services including space planning, maintenance, and security.
- Track and manage office keys, security passcodes, and access credentials.
- Maintain and update contact directories and emergency contact lists.
- Greet and assist visitors in accordance with safety protocols; ensure compliance with current health regulations.
- Manage front desk operations including answering and directing incoming calls, handling inquiries, and receiving deliveries.
- Manage company telecommunications systems including phone and extension setup, as well as mobile device setup and service plans.
- Coordinate new employee onboarding: conduct office tours, deliver workplace and health & safety training.
- Track employee vacation and attendance.
- Attend monthly Health & Safety Committee meetings.
- Arrange executive travel (flights, accommodations, transportation) and manage calendars and expense reporting.
- Plan and organize meetings, customer visits, and catering for staff events.
- Ensure boardrooms, kitchen, and shared spaces are maintained in clean, functional condition.
- Support the Accounting and Operations teams with data entry for orders and invoices, and assist in preparing shipping documents and coordinating shipments as needed.
- Perform bi-weekly bank deposits and maintain petty cash.
- Perform additional responsibilities aligned with your skills and organizational needs.
REQUIRED SKILLS, EXPERIENCE and EDUCATION:
- Minimum 2 years of experience in administrative or office support roles with similar responsibilities
- Completed post-secondary education in Business Administration or a related field
- Fluent in English (both written and spoken)
- Strong ability to manage a variety of administrative and clerical tasks
- Resourceful with the ability to prioritize and adapt to changing demands
- Discreet and trustworthy in handling confidential and sensitive information
- Interest in accounting or bookkeeping is a plus, but not required
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with computer-based applications and websites
- Excellent customer service and communication skills
- Exceptional time management and organizational abilities
- Detail-oriented, accurate, and highly focused
- Dependable, able to work independently with minimal supervision
