Crew HR is seeking an Office Coordinator for our client, Twin Peaks Engineering

Twin Peaks Engineering is a locally owned and operated consulting structural engineering firm based in Whistler, BC, with a growing footprint in Vancouver. We specialize in structural solutions for residential, light commercial, and industrial projects, with expertise in timber design, mass timber, steel and reinforced concrete, structural condition assessments, and detailed structural analysis of pre-fabricated structures.

IN THIS ROLE, YOU WILL BE:

  • Welcoming new hires to the team with a smile, leading onboarding, tracking milestones like probation periods, and keeping employee records accurate and up-to-date.
  • Keeping the payroll train on track, managing timesheets, setting up new team members through Payment Evolution, and handling raises and benefits with precision and care.
  • Backing up our Management Team with top-notch calendar wrangling, meeting prep, project support, and executive-level organization skills.
  • Keeping our operations running smoothly by mastering tools like Harvest (invoicing/timesheets), Payment Evolution (payroll), QuickBooks Online (receipts/reporting), and Asana (task/project tracking).
  • Bringing the fun factor by dreaming up and coordinating team-building adventures. Think ski days, donut deliveries, and legendary holiday parties.
  • Helping expand our footprint in Whistler and Vancouver, tackling the logistics with ease.
  • Running meetings with precision, setting the agenda, capturing insights, assigning action items, and keeping things moving.
  • Managing the day-to-day details. Keeping the office stocked, business licenses current, systems efficient, and workflows sharp.
  • Growing our brand by managing our advertising, social media accounts, and engaging with our community.
  • Always asking: how can we do this better? Bringing fresh ideas to improve processes, boost efficiency, and support Twin Peaks' next level of growth.

EXPERIENCE REQUIRED:

  • Minimum 3 years of experience as an Office Administrator or in a similar administrative support role.
  • Proven ability to thrive in a modern, fast-paced environment, supporting a busy team across two office locations.
  • Proficiency with project management tools (e.g., Asana), Harvest, Google Suite, and experience with QuickBooks.
  • Strong written and verbal communication skills, with a collaborative yet autonomous work style.
  • Base knowledge of managing social media calendars and tools.
  • Must be legally entitled to work in Canada and based in Whistler, Squamish, or Vancouver, with the ability to work from home and commute to the office as needed.
  • Valid driver's license required.

Nice to Have:

  • Basic marketing experience and familiarity with handling AV systems for remote/Zoom meetings.
