Our client, a leading private wealth management firm, is seeking a highly organized and detail-oriented Senior Administrative Assistant to join their Private Client team in Vancouver. This is an exciting opportunity to support a high-performing team and contribute to seamless client service delivery through superior administrative execution.
Senior Administrative Assistant responsibilities:
- Provide high-level administrative support to the Private Client team, ensuring exceptional client service and operational efficiency.
- Manage client account administration, including onboarding, closures, documentation updates, and transfers, in full compliance with regulatory standards.
- Maintain and update client records accurately in CRM and document management systems.
- Prepare and edit client-facing materials, investment proposals, and presentation decks tailored to individual client needs.
- Assist in the execution of client transactions by coordinating necessary documentation and ensuring timely cash settlements.
- Serve as a point of contact for client inquiries, ensuring timely follow-up and thorough resolution.
- Communicate with external custodians, consultants, and vendors to manage administrative requests and ensure accurate information flow.
- Support internal teams with workflow coordination, scheduling, and operational task management.
- Proactively identify administrative process improvements and help implement best practices to enhance service delivery.
The successful candidate has:
- 5-7 years of experience working in the investment or financial services industry.
- 5-7 years of office administrative assistant experience.
- Preferred Canadian Securities Course (CSC) or current enrollment is preferred.
- You will be required to enroll in the CSC after completing the probationary period.
- Advanced level of knowledge in Excel, Word, PowerPoint, Outlook, and Adobe Acrobat
- Strong analytical, problem-solving, and organizational abilities.
- Proven ability to thrive in high-pressure environments while juggling multiple priorities.
- Exceptional communication and interpersonal skills.
- Experience in Salesforce CRM is a plus.
Compensation and Benefits:
- Competitive salary range of $65,000 - $72,000 (negotiable based on experience)
