About the Opportunity

Aurora Developmental Services is seeking a Clinic Manager based in Vancouver, BC, to oversee our two local clinics (both located in the same building) and booking therapy and consultation appointments. The role offers the flexibility to start out as part-time with potential to transition to full-time.

This role will directly support the day-to-day operations of our practice, assisting Dr. Rae-Seebach with a variety of administrative tasks to enable her to focus more effectively on her professional responsibilities. You will also handle the scheduling of therapy and consultation appointments through the Child-Psychologist-Vancouver.ca and EndingWell.ca websites.

More specifically, your responsibilities include but are not limited to:

Managing office operations and administrative systems
Booking and organizing travel arrangements
Handling calendar management for our practitioners
Monitoring and ordering test inventory as needed
Setting up and managing technology and software tools, including our booking system (Jane App)
Filtering enquiry emails and calls, and booking initial assessments
Maintaining patient confidentiality and handling sensitive information
Preparing and sending out educational and informational newsletters
Supporting the setup of a business phone system to manage calls
Assisting with light marketing tasks, such as managing email and calendar lists
About You

To qualify, you will need experience as an Executive Assistant, Clinic Manager, or Office Manager. A minimum of 3 to 5+ years in a healthcare or clinical setting within greater Vancouver is also essential. Familiarity with administrative software, particularly the Jane App booking system, is required.

The following skills are mandatory to the role:

Proficiency in Google Suites of apps (Calendar, Gmail, Google Drive)
Proficiency with Microsoft Office, including Word, Excel, and PowerPoint
Working knowledge of Mailchimp, Mailerlite, or other similar newsletters software.
Capability to handle multiple calendars and booking systems
Use of Jane App booking system

The following skills are will be highly valued:

Understanding of encrypted email services like Hushmail
Good aptitude towards using technology and software to improve productivity
Knowledge of basic website maintenance
Knowledge of setting up automated email workflows
