Your mission should you accept it:

Under the responsibility of the Chief of Estimation, the Administrative Assistant supports the Estimation Department in performing clerical tasks. The role is carried out from the office of St-Nicolas, Lévis, and in hybrid work mode.

Do you have what it takes?

  • Diploma of vocational studies in business administration, or equivalent;
  • Bilingual French and English orally and written (advanced level required);
  • Excellent knowledge of the Microsoft Office suite (Excel, Word advanced level required);
  • A minimum of two(2) years of experience in similar functions;
  • Great administrative diligence.

What you will do to complete this mission successfully:

  • Maintain the list of projects in submission, and share information with those involved;
  • Proceed with the opening of the bid;
  • Review layout, receive and print documents;
  • Prepare and forward resolution, bonding, and insurance requests for each project, where applicable;
  • Review layout of project bid slips and other related documents;
  • Verify instructions to bidders (quotes) to prepare bid forms and all related documents requested by the client;
  • Track files and update upon receipt of addenda, Submission Forms and Specifications;
  • Draft and update corporate Resumes and organigrams to be attached to bid documents;
  • In collaboration with the Senior Assistant, actively contributes to the preparation, and editing of documents and presentations;
  • Ensures a high level of quality in terminology and presentation of documents;
  • Monitoring of contract reviews for bids;
  • Prepare and submit the manager's Expense Account;
  • The book travels for manager and team members, occasionally;
  • Any other related tasks.
