Position Overview:
Based at the Hamilton, Ontario office, the Project Coordinator (PC2) position involves managing technical communications, documents, purchase orders and invoicing related to a project. The PC2 will be involved with multiple simple projects or a few more complicated projects.
The PC2 will work closely with their Project Manager (PM) and Site Supervisors (SS). In addition, the PC2 will be working with project engineers, owners, City and Provincial authorities, and other stakeholders.
A successful candidate for the Project Coordinator (PC2) position has developed a good understanding of the mechanical trade and construction process and is well organized to handle multiple projects. A PC2 has the ability to work more independently and is supported by both the PM and the Site Superintendent on a required basis.
What you will be doing:
- Manage project documentation including contracts, drawings, purchase orders (PO), shop drawings, all correspondence, equipment deliveries, etc.
- Review of project contract scope against bid scope and reconciliation of differences with GC. Determines if there are gaps in the scope as defined by estimating
- Development of purchase order documentation for Vendors and Subcontractors based on quotations and project requirements
- Prepares a Project Schedule and overall Project Budget and supports the PM and SS to manage the schedule and budget
- During Project handover from Estimating, reviews project specifications, drawings, equipment PO, Sub-contractors PO, schedules, budget data and all other project related documentation.
- Obtains and Reviews Shop drawings, coordinates approval with GC and Engineer. Determine if shop drawings are applicable and accurate
- Assists the Site Supervisor in coordinating Subcontractors
- Conducts field meetings the PM and SS and develops the meeting minutes
- Tracks and coordinates all Vendor shop drawings and delivery dates with SS
- Prepares Request for Information (RFI), generates change order and/or work orders
- Coordinates with GC, Owner, or Engineer to resolve coordination issues. Obtains support from the PM or SS as required for difficult issues
- Develops progress invoices for the project on a regular schedule. Coordinates all billing issues with the GC or Owner and works with GC to negotiate schedule of values
- During the Project, regularly monitors progress billing and subcontractor billing to ensure timely cash flow
- Can determine what subtractor progress billing levels should be if an invoice is not received
- Can negotiate with Subcontractors in the best interest of MML when issuing POs
- Develops the O&M manual package throughout the project
- Coordinates submissions and maintains the as-built drawings for the project
- At Project Completion, determines that all project invoicing has been completed
- At "near" Project Completion, implements the necessary tasks to achieve project closeout, including a billing review
- Accountable for supporting other PC's and Site Superintendents
- Support field staff and projects using technical skills and equipment as required/as skillset supports
- Supports project forecasting activities, and required follow-ups
- Ensures all project related documentation follows MML procedures
- Performs other duties as required
Requirements
- Diploma or Degree in a construction related field is an asset
- Minimum 2 years of project coordination experience in ICI or Mid-High Rise Residential construction.
- Understanding of mechanical trades, building systems, and construction processes.
- Working knowledge project management software (e.g., Accubid, Change Order, Procore or equivalent software.
- Demonstrated ability to balance tasks related to multiple construction projects.
- Licensing / Red Seal in their specific trade or equivalent experience, an asset
- Strong organizational and communication skills.
- Good communications skills, both written and verbal
- Valid driver's license
