About the Role

Maneva is seeking a highly organized and proactive Operations Coordinator to support our leadership team and drive operational efficiency across the organization. This hybrid role blends administrative coordination, travel and calendar management, and cross-functional support. It's ideal for someone who thrives on building structure, is eager to contribute in a fast-paced startup environment, and is interested in growing into an Executive Assistant or senior operations role.

This is a contract position with the opportunity to transition to full-time based on performance.

Requirements

Key Responsibilities

1. Executive & Leadership Team Support

  • Manage calendars for the CEO and senior leadership team, including scheduling internal meetings, customer calls, and investor briefings.
  • Coordinate meeting logistics: agendas, follow-ups, room bookings, and virtual links.
  • Monitor email and Teams threads for action items, deadlines, and conflicts.

2. Travel & Meeting Logistics

  • Book domestic and international travel for executives and team members (flights, hotels, transfers).
  • Prepare detailed travel itineraries and ensure all bookings are aligned with travel preferences and budget.
  • Track and submit expense reports and reconcile receipts after travel.

3. Operational & Administrative Coordination

  • Assist in organizing internal events, offsites, and team workshops.
  • Support documentation, contract filing, and database maintenance.
  • Help drive alignment across departments by ensuring timely follow-up on key initiatives.

4. Special Projects & Ad Hoc Support

  • Conduct research (e.g., vendors, partners, suppliers) to support leadership decisions.
  • Assist in preparing presentations and reports for internal or external meetings.
  • Take on additional coordination tasks as needed across business ops or deployment teams.

Qualifications

  • 2+ years in an administrative, operations, or executive support role (startup experience a plus).
  • Proficiency with MS365 and basic calendar management tools.
  • Bonus: Experience coordinating travel, working with leadership teams, or supporting technical teams.
