Monday to Friday - 9am-5pm. Must have flexibility to work Monday-Friday days as required, both onsite and remote

Our Supported Living Homes (SLH) offer a unique and innovative approach to skills building, providing an inclusive and supportive environment, where the people supported can create and achieve their individual goals. Skill building activities include a range of areas from nutrition, budgeting, social networking, household management and hygiene to community safety and employment.

Reporting to the Manager, Developmental Services Homes, the DS Administrative Coordinator will ensure efficient scheduling of staff, support recruitment processes, oversee training and policy compliance, handle administrative tasks, and serve as a central point of contact for related inquiries and concerns.

Requirements

WAYS YOU CAN CONTRIBUTE

Administrative & Scheduling support

  • Support the leadership team to ensure staffing resources are in place to support the homes and community programs by connecting with relief pool and third party staff to fill leaves and unplanned absences
  • Accountable for maintaining office supplies and oversee the maintenance/repair of office equipment and the office;
  • Responsible for all records management, including archiving, receive and distribute internal and external correspondence in accordance with organizational policies and procedures and legal standards, update departmental memberships/contact directories roster;
  • Coordinate departmental activities, functions/events and meetings, including complete and distribute meeting agenda and materials (e.g. Team Connects) and maintain department calendar;
  • Manage administrative tasks, including invoicing for third-party staffing, updating forms, taking minutes, and handling invoicing for utility bills/contractors.

Recruitment & Training

Support the recruitment process by coordinating the posting of vacancies with People & Culture, the selection process, including pre-screening and interviews; the onboarding process, including the utilization of Nucleus.

Compliance and Audit Support

Track and manage training activities, including Safe Management training and CPR/First Aid certifications, and conduct policy reviews.

WHO YOU ARE

Education/Experience

  • Post-secondary diploma/degree in the office administration field

Skills/Abilities

  • Must have excellent knowledge and proficiency in database management systems, word processing and presentation, e.g. Excel, Word, PowerPoint, Cloud, Google Doc;
  • Knowledge of current best practices on office procedures and use of office equipment;
  • Excellent written communication skills in English to prepare internal and external documentation. Knowledge of spelling, punctuation and grammar is required to proof read and edit all written work;
  • Ability to build and maintain positive work relationships with teams in a collaborative manner;
  • Excellent interpersonal, customer service, and oral communication skills to be able to effectively communicate to a wide range of individuals, in person and by phone, Excellent work planning and organizational skills to manage and prioritize multiple and wide range of assignments with competing and tight deadlines;
  • Excellent problem solving and decision-making skills to identify what is needed in the office/department; clarify priorities and modify schedules, appointments and meetings as necessary for the provision of the appropriate services; and to prioritize and deal with issues as they arise or refer to the appropriate authority if necessary;
  • Ability to work well under pressure to meet expectations;
  • Has initiative and ability to work independently and proactively in a multi-team environment.
