Position Title: Intermediate Secretary

Location: Sudbury, ON

Term: Full-time, Contract

Reports To: General Manager, Medical Mobile Eye Care Unit

Salary: $21.25/hour

Date: May 7, 2024

I. Scope and Summary of Primary Responsibilities

In covering a broad range of duties, the emphasis of this position is to support the coordination of annual Medical Mobile Eye Care Unit (Eye Van) patient booking and health care provider communication. The program utilizes specialized software to complete workflows.

II. Essential Functions

Essential Duties entail (but not limited to):

•Provides administrative support to the Eye Van, Vision Loss Rehabilitation Team working with the General Manager

•Responds to inquiries from patients, referral sources, and other community contacts about Eye Van, VLRC and other programs.

•Updates Registration and Eye Information pages within Electronic Medical Record

•Provides support for the booking of patient appointments.

•Ensures all patient information is accurately entered in a timely manner.

•Scans documents using naming convention standards.

•Updates patient status

•Keeps database up to date; closes off services as applicable based on consultation reports.

•Supports the maintenance of patient charts, documents, and referrals, file documentation and patient status.

•Prepares referral response letters to eye care professionals.

•Contributes to a supportive team environment to meet the operational and team objectives.

•Manages multiple tasks, while still meeting deadlines and producing high-quality work

•Participates in service evaluation and program planning processes as needed to maintain and improve service outcomes.

•Consults with supervisor on issues that are more complex and that may require upper-level approval.

• Committed to maintaining privacy and confidentiality.

III. Qualifications

Knowledge and Skill Requirements:

•Well-developed interpersonal, written and verbal communications skills

•Detail-oriented, highly organized with excellent multi-project and time management skills

•Professional attitude, self-starter, and flexible

•Sensitivity to the needs of persons with vision loss

•Demonstrated customer service skills

•Exercises judgment and tact when dealing with individuals and demonstrates sound judgment in when to elevate issues to the next level.

Experience and Education:

•Minimum college diploma in office administration or equivalent.

•2 years' work experience in a reception or administrative function,

•Experience working within a healthcare environment is considered an asset.

•Proficient in the use of Microsoft Office 365 & Suite products

•Bilingualism is considered an asset.
