About Porter O'Brien
Porter O'Brien is a growing professional services firm specializing in communications, government affairs, management consulting, and strategic advisory services. Headquartered in Fredericton, with offices and employees across Canada, we work with a diverse range of clients in the public, private, and not-for-profit sectors.
We are looking for a proactive, organized, and resourceful Property & Operations Coordinator to help ensure our offices, properties, and employees have everything they need to operate effectively.
About the Role
The Property & Operations Coordinator is responsible for the day-to-day operation of our Fredericton headquarters, coordination of our other offices, administration of our property portfolio, and ensuring our employees have the equipment, supplies and workplace support they need to do their jobs.
This is a hands-on, varied position suited to someone who enjoys solving practical problems, working with people and taking initiative. The successful candidate will be someone who notices what needs attention, takes ownership and follows through without needing to be asked.
From ensuring a new employee's computer is ready on their first day, to arranging a repair, coordinating with a landlord or making sure the office is fully stocked, this position plays an important role in keeping our business running smoothly.
Key Responsibilities
- Office Operations: Maintain an on-site presence to open and secure our Fredericton HQ daily; manage office supplies, cleanliness, cleaning contractors, mail, couriers, and logistics; support meeting prep, local errands, and staff activities.
- Property Management and Coordination: Acts as the primary contact for landlords, tenants, condo boards, contractors, and tradespeople across owned and leased properties; oversees routine repairs, maintenance, utilities, building systems, and lease records.
- Employee Equipment and Technology: Prepare workstations, computers, and phones for new hires before day one; maintain equipment inventories; and coordinate setup and troubleshooting with external IT providers.
- Purchasing and Operational Administration: Coordinate purchasing, obtain vendor quotes, track contracts and warranties, monitor administrative deadlines, and identify operational efficiency improvements.
What We're Looking For
The ideal candidate will have:
- Experience in office administration, property coordination, facilities, operations or a related field.
- Excellent organizational skills, attention to detail and the ability to manage multiple competing priorities.
- A practical, hands-on attitude and a willingness to take responsibility for tasks both large and small.
- Strong initiative, sound judgment and the ability to resolve problems independently.
- Excellent interpersonal and communication skills, including confidence dealing with employees, tenants, vendors and contractors.
- Comfort working with office technology, common business software and external IT service providers.
- Experience coordinating purchasing, maintaining records and managing administrative processes.
- A valid driver's licence and the ability to travel locally for errands, purchases and operational requirements.
The ability to work on-site at our Fredericton headquarters during regular business hours, including responsibility for daily office opening and closing arrangements.
Experience managing multiple properties or working in a professional services environment would be an asset, but is not essential. We value practical experience, initiative, reliability and a demonstrated ability to get things done.
