Job Details:
We are looking for a proactive, detail-oriented Office Coordinator who takes pride in keeping things running seamlessly. This is more than a front desk role. You will be at the center of our operations, supporting both the broader organization and the accounting team. As the face of our office, you will create a polished and welcoming first impression for clients, visitors, and partners, while driving efficient administrative systems. If you enjoy balancing people, process, and precision, this role will put you right where you make the biggest impact.
Front Desk and Customer Service
- Serve as the first point of contact for visitors and callers, providing a professional and welcoming experience.
- Answer and direct all incoming mainline calls promptly and accurately.
- Manage front desk inquiries and ensure messages are routed to the appropriate team members.
- Coordinate incoming and outgoing courier services.
Office Administration
- Sort and distribute incoming mail and email inquiries to appropriate recipients in a timely manner.
- Manage office and kitchen supply inventory, including ordering and vendor coordination.
- Act as liaison between Acadian Construction and external service providers.
- Coordinate and book hotel accommodations for employees.
- Provide administrative support to the Safety department, including preparing and printing safety binders.
- Provide administrative support to the Accounting department as required.
Education and Experience
- College diploma in office administration or related field or equivalent experience.
- Minimum two years of experience in a similar administrative role.
- Bilingualism in English and French is required.
- Construction industry experience is considered an asset.
- Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with accounting software, preferably Jonas, is an asset.
