Property Administrator Atlantic Commercial Properties (ACP) is Moncton's largest provider of commercial warehouse space, owning and managing more than 45 commercial properties across the Maritimes.
We are seeking a Property Administrator to join our team in Moncton. This is an important, multi-faceted role that combines property administration, tenant service, maintenance coordination, and accounts payable.
The successful candidate will be a key point of contact for our tenants, contractors, and suppliers and will help coordinate the day-to-day operations of our commercial property portfolio. This position is well suited to someone who is organized, dependable, personable, and comfortable managing a variety of responsibilities. Training will be provided.
Key Responsibilities
Tenant & Property Administration
- Serve as a primary point of contact for tenants, contractors, and suppliers
- Respond to phone calls, emails, service requests, and general inquiries
- Maintain tenant contact information, emergency contacts, service records, contracts, leases, and other property documentation
- Maintain organized digital and physical filing systems
- Assist with internal reporting, data entry, and document preparation
Maintenance & Service Coordination
- Schedule and coordinate in-house maintenance staff for service calls, repairs, renovations, and emergencies
- Arrange outside contractors for electrical, plumbing, HVAC, and other specialized work
- Track service calls and follow up to ensure work is completed in a timely manner
- Coordinate and maintain schedules for preventative maintenance and required inspections, including HVAC, sprinkler, fire alarm, and backflow systems
Contractor & Supplier Management
- Maintain strong working relationships with contractors and suppliers
- Request and review quotes for repairs, maintenance, and property improvement projects
- Assist with negotiating annual service contracts, including landscaping and snow clearing
- Identify opportunities for cost savings and negotiate pricing with suppliers when appropriate
Required Qualifications
- High school diploma or equivalent
- Basic proficiency with Microsoft Word and Excel
- Strong organizational and communication skills
- Ability to prioritize and manage multiple tasks
- Professional and customer-service-oriented approach when dealing with tenants, contractors, and suppliers
The Following Are Considered Assets
- College diploma in business, office administration, or a related field
- Previous experience in property management, administration
- Experience with QuickBooks
- Experience coordinating contractors, maintenance, or service work
- Bilingual (English & French)
