Our Immigration team is seeking a Case Coordinator to join our Toronto office in a full-time permanent, hybrid, position to fill an existing vacancy. As part of the Immigration team, you will provide essential support to immigration lawyers by managing caseloads, liaising with clients and government agencies, and ensuring the timely and accurate processing of immigration matters.

Responsibilities

As a Case Coordinator, you will be responsible for:

  • Management of client files: file initiation, preparation, monitoring, communication, follow-up through completion;
  • Preparation of documents, writing submission letters, and compiling key information required for each client file; types of applications include: work permits (Intra-Company Transfers, LMIAs, CUSMA), business visitor and visitor visas, and permanent residence;
  • Correspondence with clients and government officials;
  • Providing timely and exceptional client service to large corporations and individuals;
  • Managing a high-volume immigration caseload from intake to filing, ensuring deadlines are met and records are accurately maintained using immigration case management software;
  • Drafting and preparing immigration forms, applications, affidavits, petitions, and legal correspondence for lawyer review, including matters related to permanent residence, work and study permits, citizenship, and corporate immigration;
  • Serving as a primary point of contact for clients, providing updates, conducting client interviews, gathering supporting documentation, and handling sensitive information with discretion;
  • Communicating with government agencies, including Immigration, Refugees and Citizenship Canada (IRCC) and the Canada Border Services Agency (CBSA), to support case progress and follow up on applications;
  • Conducting legal research on immigration laws, regulations, and precedents to support legal strategies and client matters
Qualifications

The successful candidate will possess the following skill set:

  • A Paralegal or Legal Administration diploma or other related education is considered an asset;
  • Minimum one (1) year of related experience as a legal assistant or paralegal, preferably supporting immigration matters;
  • Knowledge of Canadian immigration laws, procedures, and related documentation requirements;
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal and external stakeholders;
  • Exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities and deadlines in a fast-paced environment;
  • A client-service mindset, cultural competence, and the ability to work with individuals from diverse backgrounds

The anticipated salary range for this position is $56,000 to $84,000 annually. Individual compensation is determined based on the successful candidate's experience, qualifications, skills, and other relevant factors.
