Program/Service Coordinator (Internal Support) supports the effective delivery of Health in Emergencies (HIE) programs and services through administrative, operational, project coordination, and systems support. The coordinator plays a key role in strengthening departmental processes, information management, and digital systems to improve efficiency, collaboration, and service delivery.
The role provides administrative, logistical, and technical support to HIE initiatives, including emergency preparedness and response activities. The coordinator contributes to the development and maintenance of operational systems, supports data collection and reporting, coordinates team activities, and assists with continuous improvement initiatives. The successful candidate is highly organized, technologically savvy, and fully bilingual in English and French, with the ability to work effectively in a fast-paced and evolving environment.
In this role, you will:
- Assist with the development and implementation of program and service delivery plans to support HIE operational objectives.
- Coordinate and manage day-to-day administrative and operational activities for assigned programs, projects, and initiatives.
- Support implementation, monitoring, and reporting of program and service delivery activities.
- Coordinate meetings, workshops, training sessions, and special events, including logistics, documentation, and follow-up actions.
- Assist with the deployment and coordination of staff, volunteers, equipment, and resources during emergency preparedness and response activities.
- Support the development, implementation, and maintenance of departmental administrative systems, digital workflows, and information management processes.
- Serve as a departmental resource for Microsoft 365 applications, including SharePoint, Teams, Planner, Forms, and other digital collaboration tools.
- Maintain and improve electronic filing systems, document repositories, trackers, dashboards, and reporting tools.
- Identify opportunities to streamline processes, automate routine tasks, and improve operational efficiency.
- Collect, track, and maintain program and operational data, statistics, and performance indicators.
- Prepare regular reports, presentations, briefing materials, and communications in support of departmental activities.
- Assist in monitoring budgets, expenditures, procurement activities, and resource utilization.
- Support the preparation of evaluative reports, performance reports, and management updates.
- Ensure information and records are accurate, current, and maintained according to organizational standards.
- Work collaboratively with colleagues and internal stakeholders to support the implementation of HIE programs and activities.
- Build and maintain effective working relationships across departments to facilitate information sharing and coordination.
- Provide guidance and support to team members regarding processes, systems, and administrative procedures.
- Contribute to the development and implementation of training and onboarding materials for staff and volunteers.
- Identify areas for operational, administrative, and service delivery improvement.
- Recommend and support implementation of solutions that enhance effectiveness, efficiency, and user experience.
- Contribute to the development of innovative approaches, tools, and strategies that strengthen HIE operations and service delivery.
What we are looking for:
- Minimum of 3 years of relevant experience in program coordination, operations, administration, project coordination, or a related field.
- 1-2 year post-secondary certification/diploma in Business Administration, Project Management, Public Administration,
- Information Management, or a related discipline, and/or an equivalent combination of education and experience.
- Fluency in English and French (spoken and written) is required.
- Advanced proficiency in Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
- Strong proficiency with SharePoint and Microsoft 365 collaboration tools, including Teams, Forms, Planner, and related applications.
- Demonstrated ability to learn and leverage digital technologies to improve workflow efficiency and information management.
- Experience developing or maintaining tracking systems, databases, dashboards, or reporting tools is considered an asset.
- Familiarity with Power BI, Power Automate, or other business process automation tools is considered an asset.
- Strong organizational, project coordination, analytical, and problem-solving skills, with the ability to manage competing priorities and drive continuous improvement.
Working conditions:
- All CRC roles are required to adapt work and priorities to support emergency response efforts, be present in person as required to support service delivery and deploy to emergency responses when appropriate and/or required (personnel availability and request for exceptions will be discussed with line management).
