Position Summary

Bellastate Construction Inc. is seeking an organized and detail-oriented Construction Estimator & Procurement Coordinator to support our growing portfolio of multi-unit residential and commercial construction projects.

The purpose of this position is to create disciplined, repeatable estimating and procurement systems that improve cost certainty, purchasing efficiency and project scheduling across our construction pipeline.

The successful candidate will prepare quantity takeoffs, develop tender packages, source competitive quotations, compare bids, coordinate material procurement and maintain accurate cost and purchasing records.

This position reports to the Construction Project Manager and works closely with designers, site supervisors, consultants, subcontractors, vendors and suppliers.

The ideal candidate understands Canadian construction drawings, materials and trade scopes. They must be comfortable identifying scope gaps, communicating with trades, negotiating pricing and following procurement requirements through from initial pricing to delivery.

Key Responsibilities

Estimating and Tendering

  • Review architectural, structural, mechanical, electrical and civil drawings and specifications.
  • Prepare accurate quantity takeoffs and material estimates for multi-unit residential and commercial projects.
  • Develop clear scopes of work, tender packages and requests for quotations.
  • Identify and invite qualified subcontractors, vendors and suppliers to provide competitive pricing.
  • Follow up on outstanding quotations to ensure pricing is received by required deadlines.
  • Compare bids based on price, scope, exclusions, qualifications, lead times and completeness.
  • Prepare organized bid-comparison sheets and provide recommendations to the Construction Project Manager.
  • Identify drawing inconsistencies, missing information, scope gaps and potential cost or scheduling risks before contracts are awarded.
  • Maintain organized estimating records, historical pricing and subcontractor and supplier databases.

Procurement and Purchasing

  • Source construction materials, equipment, subcontracted services and alternative products.
  • Obtain and negotiate competitive pricing, payment terms, delivery conditions and lead times.
  • Prepare purchase orders, subcontract documentation and material orders for approval.
  • Track procurement requirements against project schedules.
  • Monitor long-lead items and ensure they are identified and ordered within the required timeframes.
  • Coordinate product selections, substitutions, samples and shop-drawing approvals.
  • Communicate with suppliers and site teams regarding order status, delivery dates, shortages and changes.
  • Verify that orders match approved quotations, specifications, quantities and project requirements.
  • Help resolve pricing discrepancies, incomplete deliveries, damaged materials and supply-chain issues.
  • Build and maintain strong working relationships with subcontractors, vendors and suppliers.
  • Ensure purchasing commitments follow company approval and signing-authority procedures.

Cost Control and Project Support

  • Assist with the preparation and maintenance of project budgets.
  • Track quotations, purchase orders, subcontracts, committed costs, change orders and budget variances.
  • Review proposed project changes and obtain supporting subcontractor and supplier pricing.
  • Maintain current cost-comparison and procurement-tracking reports.
  • Research alternative materials, suppliers and construction methods as part of value-engineering exercises.
  • Provide regular updates regarding outstanding quotations, purchasing requirements, lead times and cost concerns.
  • Support project forecasting and preparation of cost information for construction draws and management reporting.
  • Work with the Construction Project Manager to ensure procurement decisions align with approved budgets and construction schedules.

Project Coordination and Documentation

  • Maintain organized records of quotations, purchase orders, subcontracts, drawings, specifications and approvals.
  • Maintain current drawing sets and distribute relevant revisions to affected subcontractors and suppliers.
  • Track RFIs, submittals, shop drawings, change orders and outstanding decisions that affect pricing or procurement.
  • Coordinate procurement-related communication among the Project Manager, site supervisors, consultants, subcontractors and suppliers.
  • Attend construction meetings and document procurement responsibilities, decisions and deadlines.
  • Visit active construction sites when required to verify quantities, confirm existing conditions or coordinate deliveries.
  • Provide additional estimating, procurement and project-coordination support as required.

Qualifications

  • Three or more years of relevant experience in construction estimating, procurement, tendering, purchasing or project coordination.
  • Experience within the Canadian multi-unit residential or commercial construction industry.
  • Strong ability to interpret architectural and structural drawings, with working familiarity with mechanical, electrical and civil drawings.
  • Experience preparing quantity takeoffs, scopes of work, tender packages, requests for quotations and bid comparisons.
  • Working knowledge of construction materials, trade scopes, pricing and procurement processes.
  • Strong proficiency with Microsoft Excel, Word and Outlook.
  • Experience with PlanSwift or comparable estimating and takeoff software.
  • Experience with AutoCAD and construction project-management systems is considered an asset.
  • Strong numerical, analytical and problem-solving abilities.
  • Excellent organization, attention to detail and time-management skills.
  • Clear and professional written and verbal communication.
  • Confidence communicating and negotiating with subcontractors, vendors and suppliers.
  • Ability to manage multiple projects, pricing requests, deadlines and outstanding procurement requirements.
  • Ability to work independently while collaborating closely with office and site teams.
  • Valid driver's licence and access to reliable transportation.
