POSITION SUMMARY


Bellastate Construction Inc. is seeking an organized and experienced Construction Administrator / Project Coordinator to support our growing portfolio of multi-unit residential and commercial construction projects.
Working closely with our Construction Project Manager, site supervisors, subcontractors, consultants and suppliers, this individual will take ownership of project administration, documentation, technical coordination and follow-through.
The ideal candidate is highly organized, understands multi-family residential and commercial construction drawings and terminology, and is comfortable tracking multiple projects, deadlines and outstanding items. Experience assisting with quantity takeoffs, tender packages, quote comparisons and construction documentation is required.


KEY RESPONSIBILITIES


Project Documentation and Administration
- Organize and maintain project files, contracts, permits, drawings, specifications and construction documents.
- Maintain current drawing sets and distribute revisions to the appropriate team members and trades.
- Prepare and maintain RFI, submittal, change-order, shop-drawing and deficiency logs.
- Track contracts, purchase orders, quotations, approvals, warranties and closeout documentation.
- Maintain accurate records of deliveries, site reports, timesheets, meeting minutes and project correspondence.
- Ensure project documentation is accurate, current and properly filed.


Project Coordination
- Support the Construction Project Manager with schedules, subcontractor coordination and day-to-day follow-through.
- Coordinate communication between the project manager, site supervisors, subcontractors, consultants and suppliers.
- Schedule and track inspections, permits, material deliveries and required approvals.
- Monitor action items and follow up with the responsible parties until completion.
- Prepare weekly project-status reports identifying outstanding decisions, documentation, deliveries and schedule concerns.
- Assist with construction meetings, including agendas, meeting minutes, assigned responsibilities and deadlines.


Estimating and Procurement Support
- Assist with quantity takeoffs from construction drawings.
- Prepare tender and quotation-request packages for subcontractors and suppliers.
- Organize and compare subcontractor and supplier quotations.
- Track material orders, lead times, deliveries and outstanding procurement items.
- Assist with budget tracking, change documentation and cost comparisons.
- Identify missing information, scope gaps or inconsistencies for review by the project manager.


Office and Site Support
- Print, organize and distribute drawings, specifications and construction updates.
- Assist with safety documentation, certificates of insurance and subcontractor compliance.
- Communicate with vendors, trades and suppliers regarding schedules, documentation and deliveries.
- Visit active construction sites when required to collect information, confirm progress or assist with coordination.
- Provide additional administrative and coordination support to the construction team as required.


QUALIFICATIONS


- Two or more years of Canadian experience in construction administration, project coordination, estimating support or a related role.
- Knowledge of multi-family residential and commercial construction processes, terminology, drawings and documentation.
- Ability to read and interpret architectural and construction drawings.
- Experience with quantity takeoffs, tendering or quote comparisons is a strong asset.
- Proficiency in Microsoft Excel, Word and Outlook.
- Experience with PlanSwift, AutoCAD, project-management software or construction document-control systems is an asset.
- Strong written and verbal communication skills.
- Excellent organization, attention to detail and time-management skills.
- Ability to manage multiple priorities and follow outstanding items through to completion.
- Ability to work independently while collaborating with office and site teams.
- Valid driver's licence and access to reliable transportation.
