Reporting to the Assistant Deputy Minister of Educational Services Division (Anglophone), the Administrative Assistant role is essential to ensure smooth operations by managing priorities, communication, and coordination at the executive level.

What you will do:

Responsible to provide timely and accurate administrative and secretarial support to the ADM of Educational Services Division (Anglophone):

  • Manage the ADM's calendar, including scheduling and resolving conflicts
  • Prioritize and respond to a high volume of emails with professionalism and discretion
  • Coordinate meetings, prepare agendas, and track action items
  • Liaise with internal and external stakeholders on behalf of the ADM
  • Prepare, edit, and format documents, reports, and presentations
  • Monitor deadlines and ensure timely follow-up on key tasks
  • Support travel planning and expense reporting
  • Maintain organized digital and physical filing systems
  • Handle sensitive and confidential information with integrity
  • Establish, manage, and accurately code budgets in Oracle, ensuring strong financial tracking and reporting.
  • Anticipate needs and provide proactive administrative support in a fast-paced environment

We are looking for diverse backgrounds that bring a combination of the following:

  • Completion of a 2-year post-secondary program in administrative support, business administration, or office management.
  • A minimum of four (4) years of relevant work experience.
  • Demonstrated technical experience in the areas listed in the technical competencies.
  • Written and spoken competence in English is required. Please state your language capability.
  • An equivalent combination of education, training and experience may be considered.

Technical Competencies:

  • Advanced Office Software Proficiency - Strong skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Digital Communication & Collaboration Tools - Proficient in Microsoft Teams, SharePoint, GNB supported AI tools, and OneDrive for virtual meetings, file sharing, and real-time collaboration.
  • Executive-Level Calendar Management - Experienced in managing calendars in Outlook, coordinating meetings across departments, tracking action items, and organizing confidential information .

Wage:

ASL-4 - $2,063 - $2,452 bi-weekly.
