SCHEDULE: Day, 8 and 12-hour shifts. Work schedule may be changed to meet operational needs.

JOB SUMMARY :The primary role of this position is to lighten the workload of the Assistant Vice President—Quality, Risk, and Technology by taking on certain administrative duties. The incumbent is responsible for implementing and overseeing standardized administrative practices across the entire division. Depending on organizational needs, the incumbent may also provide administrative support to one or two other vice presidents or directors.
The incumbent is expected to evaluate existing methods and procedures, design new ones, or make recommendations for changes to them in order to lighten the workload of their supervisor or improve the sector's operations. The nature of the day-to-day work exposes the incumbent to a context in which processes and functions change frequently. The incumbent must therefore adapt to a dynamic environment and adjust their work accordingly. The incumbent must be prepared to act on their recommendations and be able to implement them.
REQUIREMENTS :
- Recognized postsecondary training in secretarial studies or office administration;
- Minimum five (5) years of experience in an administrative secretary position;
- Experience as an executive secretary, considered an asset;
- Experience in a health-related field, considered an asset;
- Any other combination of education and experience deemed relevant and equivalent may be considered;
- Extensive knowledge of the Microsoft 365 suite and other software applications used within the Network;
- Excellent written communication skills, including minute-taking;
- Strong communication and interpersonal skills;
- Ability to manage workload effectively and balance multiple priorities;
- Strong sense of responsibility, excellent organizational skills, analytical thinking, and attention to detail;
- Ability to work independently and as part of a team;
- Physical ability to perform the assigned work;
- Good work history (performance and attendance);
- Adherence to professional ethical principles, the Network's management philosophy, and organizational values;
- Compliance with the rules of confidentiality set by Vitalité Health Network.
