The opportunity:

Maritime Allergy clinic, located in Moncton, NB is looking for a full-time Medical Office Assistant to join our team! If you consider yourself to be organized, innovative, passionate, and a dependable individual, this may be the perfect opportunity for you!

Key Responsibilities, as required/applicable:

The Medical Office Assistant would be responsible for coordinating the effectiveness of daily activities at our clinic and provide administrative support, which includes the following administrative duties:

  • Respond to patient inquiries via telephone, email, and fax in a professional and timely manner.
  • Greet patients upon arrival and provide a welcoming, respectful experience.
  • Schedule, confirm, and manage patient appointments using the clinic's electronic system.
  • Take and relay accurate messages to physicians and other team members.
  • Maintain efficient scheduling workflows to support clinic operations.
  • Ensure electronic medical records are complete and up to date and manage faxing of reports.
  • Scan and upload documents into the electronic medical record system.
  • Process and track referrals.
  • Process payments for services, products, or orders and maintain accurate records.
  • Ensure all patient information is handled in accordance with confidentiality and privacy standards.
  • Support daily clinic operations and perform other administrative duties as required.
  • Contribute to a collaborative team environment and support physicians and staff in delivering quality patient care.

Schedule and location:

  • The medical office assistant position requires availability to work onsite from Monday to Friday, 8 hours/day (excluding evenings, weekends, and Statutory Holidays).
  • The clinic is located at 115 Pacific Ave, Moncton, NB.

Qualifications:

  • Proficiency with a computer (including using the internet, electronic medical record system, and MS Office software).
  • Demonstrates excellent documentation skills and attention to detail.
  • Strong communication and conflict resolution skills.
  • Strong interpersonal skills.
  • Exhibit compassion and patience.
  • Self-motivated individual who has the ability to work independently and as a team.
  • Contribute to a culture of continuous improvement by fostering a mindset of innovation, problem solving, and excellence.
  • Ability to maintain a high regard for confidentiality and advocacy for patients.
  • Ability to multi-task and work in a fast-paced environment.
  • Proficiency in both English and French are required due to operational requirements.

Experience/Education:

  • 2+ years of experience as a medical office admin within a medical environment is an asset.
  • Medical office admin diploma (or equivalent) is an asset.
  • Familiarity with medical terminology.
  • General knowledge of the New Brunswick medical system is an asset.

Compensation:

Hourly rate within a range of $24 - $27, commensurate with experience and qualifications. Final compensation will be discussed and confirmed with the successful candidate.
