Position Summary

The Property Operations Manager is responsible for overseeing the day-to-day operations of a commercial property portfolio consisting primarily of warehouse, office, and industrial properties. This role ensures efficient building performance, tenant satisfaction and retention, and the successful execution of building upgrades and tenant fit-ups. The Property Operations Manager serves as the primary point of coordination between ownership, tenants, vendors, contractors, and internal teams to maintain high-quality operations, maximize asset value, and support the long-term success of the portfolio.

Key Responsibilities

Property Operations & Maintenance

  • Oversee daily operations of assigned properties, ensuring buildings are safe, clean, and well-maintained
  • Manage preventive maintenance programs and coordinate repairs for HVAC, electrical, plumbing, and structural systems
  • Conduct regular property inspections and address deficiencies promptly
  • Ensure building systems and equipment are operating efficiently and reliably
  • Coordinate and oversee seasonal maintenance activities

Vendor & Contract Management

  • Select, onboard, and manage third-party vendors and service providers
  • Negotiate service contracts and monitor vendor performance, service quality, and costs
  • Obtain and evaluate competitive bids for maintenance, repair, and capital projects
  • Project manage new builds, tenant fit-ups, and building/unit upgrades
  • Maintain strong working relationships with contractors, consultants, and service providers

Tenant Relations & Lease Coordination

  • Serve as a primary contact for tenant operational needs and concerns
  • Coordinate tenant improvement and fit-up activities
  • Address service requests and resolve issues in a timely and professional manner
  • Work closely with the leasing team to coordinate tenant move-ins, move-outs, and occupancy transitions
  • Assist in supporting tenant renewals and maintaining strong tenant relationships
  • Monitor tenant compliance with operational obligations outlined in lease agreements

Financial & Budget Oversight

  • Assist in preparing and managing annual operating budgets
  • Review invoices, approve expenses, and track and control operating costs
  • Identify cost-saving opportunities without compromising service quality
  • Assist with forecasting and budgeting for capital improvements and major repairs

Compliance & Risk Management

  • Ensure buildings and rental units operate safely and efficiently
  • Manage inspections, audits, and emergency response procedures
  • Address security and safety system calls during business and after hours
  • Maintain accurate operational records and reports
  • Ensure compliance with applicable building, fire, health and safety, and environmental regulations

Capital Projects & Improvements

  • Support capital improvement projects from planning through completion
  • Coordinate with contractors, engineers, consultants, and ownership representatives
  • Monitor project schedules, budgets, and quality standards
  • Assist with planning and execution of property improvement initiatives that enhance tenant satisfaction and asset value

Qualifications

  • Bachelor's degree in Property Management, Business, Engineering, or a related field (preferred)
  • 5+ years of experience in commercial property operations, facilities management, or a related field
  • Knowledge of building systems, maintenance practices, and commercial property operations
  • Experience managing vendors, budgets, capital projects, and tenant relationships
  • Excellent communication, organizational, and problem-solving skills
  • Proficiency with property management software and Microsoft Office
  • Valid driver's license and reliable transportation required
  • Ability to respond to property emergencies when required
