Doctors Nova Scotia (DNS) is the professional association representing all physicians in the province, with over 5,500 members including practicing and retired physicians, medical students, and residents. Reporting to the Membership & Benefits Manager, the Database Administrator is responsible for the administration, customization, and optimization of the organization's NetSuite environment and related systems. This role leads database structure, system integrations, workflow automation, and reporting design to enhance operational efficiency and data-informed decision-making. You will work closely with cross-functional teams to translate business requirements into scalable system solutions that drive continuous improvement.
Core Responsibilities
In this role, you will provide strategic and operational leadership for the organization's enterprise systems and user enablement. Your responsibilities include:
- System Administration & Customization: Customize NetSuite records, fields, and page layouts, while supporting overall database design, system configuration, and functional testing.
- Integrations & Data Flow: Maintain and enhance integrations between NetSuite and financial systems, email marketing platforms, and the organization's website to ensure seamless data flow and alignment.
- Workflow Automation: Design and optimize workflows and electronic approval processes to improve process efficiency and system automation.
- Insights & Reporting: Develop and maintain saved searches, reports, and dashboards to support business insights and organizational decision-making.
- Data Governance: Perform data uploads and mass updates while ensuring accuracy and strict adherence to data governance standards.
- User Support & Training: Provide ongoing system support and onboarding for users, while developing clear process documentation and guidance.
- System Communications: Design and maintain HTML templates for system-generated communications, such as invoices and receipts.
Qualifications
You are a technical professional with a deep understanding of database design and a high level of integrity when handling sensitive data.
- Education: Post-secondary education in information systems, business administration, computer science, or a related field (or an equivalent combination of education and experience).
- Experience: A minimum of three (3) years of experience administering or supporting enterprise systems (e.g., NetSuite, CRM, or ERP platforms), including reporting and workflow automation.
- Technical Skills: Proficiency in HTML for template building and experience managing system integrations (e.g., Higher Logic, APIs, or data exchange tools).
- Analytical Mindset: Strong analytical and problem-solving skills with exceptional attention to detail and accuracy.
- Communication: Excellent interpersonal skills with the ability to deliver user training and work effectively with both technical and non-technical stakeholders.
- Adaptability: Proven ability to manage multiple priorities and deliver results independently in a fast-paced environment.
