The Opportunity: Administrative and Learning System Coordinator

The Administrative and Learning Systems Coordinator provides organization-wide administrative and operational support to ensure the efficient functioning of the organization. This role serves as the primary coordinator for logistics related to LearnSphere's Board of Directors while also managing the day-to-day administration of the organization's Learning Management System (LMS). Reporting directly to the Chief Operating Officer, the Administrative and Learning Systems Coordinator is integral in providing administrative and communications input and support to all our projects.

Key Responsibilities

Administrative and Operational Support

  • Assist in the development, proofing, and formatting of corporate correspondence, documents, reports, presentations and proposals
  • Maintain and update the website and social media (e.g., LinkedIn, Facebook)
  • Represent the organization professionally in written and verbal correspondence, in both official languages
  • Provide support for financial tasks such as invoicing and claims

Learning Management System (LMS) Administration

  • Serve as the primary administrator for the organization's Learning Management System
  • Manage user accounts, permissions, enrollments, and learning assignments
  • Monitor learner participation, completion rates, and compliance requirements
  • Generate, analyze, and distribute LMS reports for management and employees or other stakeholders as required
  • Provide technical support and troubleshooting assistance to employees using the LMS
  • Identify opportunities to improve reporting processes, data quality, and user experience

Board of Directors Administration

  • Coordinate all logistical arrangements for Board of Directors and committee meetings, including scheduling, meeting invitations, venue or virtual meeting setup, and distribution of materials
  • Draft and manage Board-related correspondence with professionalism and discretion, recognizing the demands on volunteer time and the importance of clear, well-prepared materials
  • Attend Board meetings and accurately record meeting minutes, decisions, and action items
  • Maintain Board records, governance documents, policies, resolutions, and meeting archives

Qualifications

  • Graduate of a recognized communications or administrative program or be able to demonstrate work experience equivalency
  • Experience administering a Learning Management System or similar database platform
  • Experience taking and preparing formal meeting minutes
  • Strong organizational, interpersonal and communication skills
  • Bilingual in English and French, possessing excellent writing skills in both
  • Proficiency with Microsoft Office 365, including Word, Excel, PowerPoint, Outlook, and Teams
  • Good knowledge of Adobe, Canva, HubSpot, content management systems considered an asset
  • Good knowledge of generative AI tools considered an asset

An equivalent combination of education, training and experience may be considered.
