Position description
Reporting to the Associate Director Donor Relations, the Manager Gift Administration has primary responsibility for all gift processing, and related accounting and reporting. The incumbent will also track and manage budget expenditures for the office and the Alumni Association. The incumbent enjoys working with others, is detail-oriented, comfortable with technology and capable of exercising sound judgement and initiative. This position involves acting as Advancement's liaison with the Bursar's Office and other departments with respect to donations. The successful candidate will join a collaborative, service-oriented team in the King's Advancement Office.
Responsibilities
Gift Processing
- Processes approximately 700 donations each year and effects control and consistency in the acceptance and recording of all such gifts, including those through the US Foundation.
- Monitors transfers of gifts of shares, e-transfers and other giving vehicles.
- Manages recurring gifts, pre-authorized payment donations, and gifts made by payroll deduction.
- Prepares deposits and batch reports for the Senior Accounting Officer in the Bursar's Office.
- Following established protocols, works through the office database (Raiser's Edge) to record and receipt all gifts.
- Prepares letters of acknowledgement and tax receipts in a timely manner.
- Works with members of the Bursar's Office as required to ensure accuracy in accounts and analysis for balancing.
- Sets up new gift designations and requests new accounts from the Bursar's Office as required.
- Advises others of available funds assigned to their departments and their designated purpose.
Database Management & Reporting
- Helps to annually collect and record student information from other parts of the college, club lists, residence information, new student lists, parent information, withdrawals, academic awards, graduating class lists, etc.
- Creates segmentation lists through RE for mailings and other communications.
- Liaise with external suppliers to transfer data for Annual Fund mailings.
- Generates reports to help produce annual benchmarks for the annual Stewardship Report.
Administrative support
- Tracks Advancement's expenditures to budget, creates purchase orders, processes visa statements.
- Reviews Advancement's monthly financial statements with the Controller, resolving issues or differences.
- Reports on the breakdown of funds available for named student awards to the Enrolment and Student Life Office.
- Supports the Bursar's Office in the yearly report for Canada Revenue Agency Charity Return.
- Supervises 1-2 students (data entry) and prepares student payroll.
- Prepares cheques, manages the bank account and at year end, liaises with the Bursar and hired auditors on the Alumni Association's year-end.
- And as with all members of the Advancement Office, participates in support roles for advancement hosted events as needed.
Qualifications
- Post-Secondary education and/or equivalent work experience.
- Minimum 2-5 years' experience working in a fundraising or not-for-profit environment.
- Strong proficiency with technology and experience with Raiser's Edge (preferred) or an alternative customer relationship management tool (CRM).
- Experience in a gift or revenue processing role, or equivalent; experience with integrated giving platforms (e.g. Benevity, CanadaHelps); accounting/expenditure tracking; and familiarity with CRA charity guidelines - would all be considered assets.
- Detail oriented with an ability to function and process information with high levels of accuracy.
- Exercises a high degree of judgment.
- Ability to handle multiple tasks and competing priorities with exceptional attention to detail.
- Ability to handle confidential matters with a high level of integrity.

- Annual Salary range: $63,378 - $ 68,595
- Includes comprehensive benefits with medical and dental; eligible for enrollment in the Nova Scotia Public Service Superannuation Plan (PSSP).
