Administrative Services Agent
Description
The College of Physicians and Surgeons of New Brunswick (CPSNB) serves and protects the public by regulating the practice of medicine in the province. With over 25 employees, the CPSNB is currently seeking an Administrative Services Agent.
Key Responsibilities
The Administrative Services Agent serves as the first point of contact for College staff on operational issues, delivering outstanding customer service to internal and external clients by phone, email, and in person while efficiently performing administrative duties that support the College's overall success.
Below is an outline of key responsibilities:
- Answer phone enquiries using a professional and courteous manner and direct phone enquiries to the appropriate staff members.
- Greet and direct visitors while managing front-desk operations and maintaining security protocols.
- Responsible for mail pick up / delivery with Canada Post and courier services. Sorting and distribution of incoming mail.
- Monitor the webmail inbox redirecting enquiries as appropriate and drafting or preparing responses to routine enquiries as directed.
- Maintain office supplies and order as required.
- Work closely with the Executive Assistant to the Registrar to ensure logistical aspects of Council and Executive Committee meetings; calendar invites, meeting room bookings, AV requirements, catering and attendance lists, travel claims, etc.
- Operations support as it relates to day-to-day facility operation and equipment maintenance.
- Provide administrative support to the Registrar, Director of Operations and other members of the leadership team, as needed, including but not limited to meeting coordination, report preparation, document scanning, and data entry.
- Perform various other administrative tasks as required.
Required Education and Experience
- Post-secondary education in office administration or equivalent years of relevant experience will be considered
- Minimum of three (3) years' experience in a related position and/or equivalent combination of education, training and experience determined to be acceptable
- Previous experience working in an office-based environment, providing support relevant to duties of this position
Knowledge, Skills and Abilities
- Fluently bilingual (English/French)
- Advanced in using MS Office and quick study when it comes to a variety of business software
- Ability to establish and maintain effective working relationships with all stakeholders
- Strong organizational skills and ability to multi-task, prioritize, and meet deadlines
- Ability to step in and support the team as required
- High professional and ethical standards for handling confidential information
- Outstanding communication and people skills
- Ability to work hard and have fun
