The Opportunity

The Executive Assistant provides senior-level support to the COO, Executive Director and Executive Team, managing scheduling, communications, and key relationships. With strong knowledge of agency operations and government processes, the Executive Assistant ensures smooth office operations and reduces Executive Team's administrative workload.

Responsibilities
  • Prepare and support high-level meetings, while serving as the official recording secretary responsible for accurately documenting decisions, action items, and correspondence that have significant impact on Nova Scotians.
  • Oversee the COO's and Executive Director's office operations including budgeting, workload planning, administration, and event coordination - while managing daily logistics and liaising with senior leaders, government partners, and the public to ensure smooth, organized operations.
  • Manage the senior leaders' schedules, calendars, and appointments while handling and prioritizing all incoming correspondence with strict confidentiality, ensuring urgent matters are addressed and all necessary materials are prepared for timely action.
  • Draft and proof correspondence, reports, and briefing material ensuring accuracy and timely preparation on critical issues.
  • Provide technical support for virtual meetings and ensure technology is optimized for efficient operations. Arrange and record minutes of senior leadership team meetings.
  • Coordinate and prepare presentations and manage meeting logistics, ensuring leaders have all the relevant materials in advance.
  • Manage travel and accommodation for the Executive Team including itineraries, reservations, financial arrangements, and expense reporting.
  • Maintains effective financial controls in the Executive Office by managing the processing of invoices, and monitoring transactions in accordance with agency policies.
  • Act as a back up to the Executive Assistant to the Minister as required.
  • Other assigned duties.
Qualifications

Must Have

  • Diploma or degree in Business Administration, Office Administration or a related field.
  • Minimum 3 years' experience as an Executive Assistant, or in a similar senior administrative position.
  • Exceptional attention to detail, with strong organizational and multitasking skills.
  • Strong verbal and written communication, with the interpersonal ability to foster collaboration and support change across various departments.
  • High proficiency with IT tools, including Microsoft Office Suite and virtual communication platforms.
  • Demonstrated ability to work independently, adapt to shifting priorities, and exercise sound judgement in a fast-paced environment.
  • Strategic problem-solving capability, with the discretion and judgment required to manage sensitive and confidential matters.

Nice to Have

  • Experience in the public sector is considered an asset.
