Administrative Assistant, Line Maintenance

Purpose of position

Provide confidential administrative support to Manager, Line Maintenance, and Stores group.


Key responsibilities

  • Build and administer workforce schedules for Line Maintenance and Stores unionized and management employees, ensuring coverage requirements are met while complying with collective agreement provisions.
  • Create shift bids, vacation bids, and approve vacation for employees and management, and integrate into the work schedules.
  • Ensure all applicable provisions of the relevant collective agreement are consistently and accurately applied in the administration of duties supporting unionized employees.
  • Manage pay-related activities in UKG Workforce Central (WFC) ensuring accuracy, completeness, and adherence to payroll deadlines.
  • Recommend schedule changes to backfill and reduce overtime payouts.
  • Investigate daily exceptions generated in UKG WFC (time and attendance).
  • First point of contact for maintenance inquiries and information relating to Line maintenance department.
  • Co-ordinate and responsible for onboarding and offboarding activities, including access credentials and required documentation.
  • Creating and maintaining employees' personnel files.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
  • Perform other related duties as assigned.


Required qualifications

  • College diploma or post-secondary education.
  • Minimum (3) years of experience in an administrative role within a fast-paced, deadline-driven office environment.
  • Proficient in Microsoft Office Suite with particular skill sets in Excel, Outlook, and Word.
  • Well organized, manage time effectively, prioritize multiple tasks, and meet deadlines.
  • Ability to obtain and maintain a Restricted Area Identification Card (RAIC).
  • Effective communication skills in English, both oral and written.
  • Note for Montreal base: Effective communication skills in French, both oral and written are also required.


Preferred qualifications

  • Payroll related experience.
  • Experience with UKG WFC (Kronos) or similar workforce management systems.
  • Experience working in a unionized environment.
  • Previous experience in aviation industry.
