The Opportunity:

Dr Bohémier, working both at the Moncton Hospital and in her private office, in New Brunswick, is seeking a full time Medical Office Administrator to join her team in the office.

This opportunity is meant for an individual who has experience working as an office administrator within a health care setting. If you consider yourself to be a strong communicator who is organized, compassionate, and you are an innovative person who loves taking initiative, this may be the perfect opportunity for you! The person chosen should be comfortable working independently, take initiative when problems arise and be able to work well as a team with various members of the healthcare team. Relaying requests on behalf of patients and from patients will be crucial and are to be completed in a confidential and professional manner.

Key Responsibilities, as required/applicable:

  • Opens and closes the clinic.
  • Prepares future clinic dates - bookings, modifications, preparations, etc.
  • Coordinates patient care through the clinic: greeting, checking in, prepping, escorting to exam rooms, and preparing exam rooms for the next patient.
  • Updates personal information - address, pharmacy, phone number, family doctor, etc.
  • Ensures exam rooms are stocked appropriately.
  • Answers inquiries by phone and in person in a helpful, respectful and efficient manner.
  • Manages voicemail messages.
  • Manages and maintains appointment schedule for patients and the physician - including last minute changes for surgery or call, etc
  • Manages incoming/outgoing communications.
  • Maintains electronic medical records via EMR software.
  • Processes faxes and emails electronically.
  • Prepares and processes clinic mail.
  • Sends out consultation requests and reports to other physicians.
  • Sends operating room booking cards and documentations to the hospital.
  • Facilitates medical transcription as needed.
  • Ensures patient confidentiality.
  • Performs billing procedures - including but not limited to creating invoices and paying bills.
  • Processes insurance forms.
  • Updates documents - handouts, policies, etc.
  • Manages vendors and contractors, including managing office supplies inventory.
  • Orders and receives office and medical supplies.
  • Performs all other related administrative tasks or special tasks.
  • Performs laundry of drapes and other fabric used in the office.

Schedule & Location:

  • The medical office administrator position requires availability to work on-site from Monday to Friday for a total of 40 hours per week, work schedule may vary from day to day, hours are generally between 8 am and 6pm (excluding evenings, weekends and STAT holidays).
  • The clinic is located at 100 Arden street - Professional Arts Building, Moncton, NB.

Qualifications:

  • Proficiency with a computer (including using the internet, electronic medical record system, and MS Office software).
  • Experience with Telus CHR electronic medical record is an asset.
  • Ability to quickly gain competency in new programs/platforms is an asset.
  • Demonstrates excellent documentation skills and attention to detail.
  • Strong communication and conflict resolution skills.
  • Strong interpersonal skills.
  • Exhibit compassion and patience.
  • Self-motivated individual who has the ability to work independently and as a team.
  • Strong work ethic as it pertains to the completion of required tasks in the required time frame.
  • Contribute to a culture of continuous improvement by fostering a mindset of innovation, problem solving, and excellence.
  • Ability to maintain a high regard for confidentiality and advocacy for patients.
  • Ability to multi-task and work in a fast-paced environment.
  • Reliable with a willingness and ability to adapt to changes in scheduling as it arises.
  • Proficiency in English is required, proficiency in French is considered a strong asset.

Experience/Education:

  • 2+ years of experience as a medical office admin within a medical environment is an asset.
  • Medical office admin diploma (or equivalent) is an asset.
  • Familiarity with medical terminology.
  • General knowledge of the New Brunswick medical system is an asset.
