Position Overview
MedNexus Health, located in Moncton NB, is seeking a full-time, permanent Medical Office Administrator to join our growing team. The Medical Office Administrator serves as an integral part of our team, responsible for facilitating excellent patient experiences and supporting the efficient operation of daily activities. Key Responsibilities
- Greeting incoming patients and provide professional reception service.
- Manage incoming/outgoing communication in a helpful, respectful and efficient manner.
- Schedule and manage patient appointments, including walk-ins.
- Coordinate patient care through the clinic: checking in, prepping, escorting to exam rooms, and preparing exam rooms for the next patient while ensuring exam rooms are stocked appropriately.
- Manage and respond to requests and queries from pharmacies.
- Maintain electronic medical records via EMR software by ensuring patient lists and records are accurate and kept up to date.
- Scan and upload relevant documents to patient files.
- Manage outgoing faxes and triage incoming faxes in a timely manner.
- Prepare and process clinic mail.
- Perform billing procedures.
- Monitor and maintain office inventory and supplies.
- Performs all other related administrative tasks or special tasks.
Experience/Education:
- 2+ years of experience as a medical office administrator within a medical environment.
- Medical Office administrator diploma (or equivalent) is considered an asset.
- Familiarity with medical terminology.
- General knowledge of the New Brunswick medical system is an asset.
Qualifications:
- A high level of professionalism, including strict adherence to confidentiality and patient advocacy standards.
- Self-motivation with the ability to work both independently and collaboratively within a team environment.
- Proficiency with computers, including internet use, electronic medical record (EMR) systems, and other relevant software applications such as MS Office software.
- A commitment to fostering a culture of problem-solving, collaboration, and excellence.
- Strong documentation skills with exceptional attention to detail.
- Excellent interpersonal, conflict resolution, and communication skills.
- Compassion, patience, and a patient-centered approach to care.
- The ability to multitask and thrive in a fast-paced clinical environment.
- Fluency in both English and French are required to support daily clinic operations.
Working Conditions & Location:
- The Medical Office Administrator position requires availability to work from Monday to Friday, 8 hours/day (excluding evenings, weekends, and STAT holidays).
- The successful applicant will be expected to work in person in Moncton, New Brunswick.
