East Cumberland Lodge (ECL) is a 74-bed licensed long-term care home in a rural Nova Scotia community (population ECL has made significant investments in digital technologies to enhance resident care and organizational efficiency. This includes a modern call bell and communications system, PointClickCare electronic health records for integrated charting, and dedicated IT support. These tools improve safety, communication, and access to real-time resident information, ensuring high-quality, responsive care.
Position Overview:
We are currently seeking two enthusiastic, organized Administration Assistants to join our team as Canada Summer Jobs students. The focus of this position is on using technology and AI to deliver essential clerical, organizational, and communication support that enables the organization's smooth, efficient operation. The students in this role will learn digital administration skills within the following departments: Financial, Human Resources, Systems Navigation, and Research.
This role ensures that staff, residents, families, and community partners receive timely, accurate information while upholding high standards of confidentiality and professionalism. They will contribute to daily operations by managing correspondence, organizing records, coordinating schedules, preparing documents, and supporting departmental activities using technology (e.g., Microsoft Office, Canva, and shared online directories). Through strong attention to detail and excellent customer service, this position helps create a well-organized, responsive, and welcoming environment that supports high-quality care and service delivery.
The ideal candidate is motivated, eager to learn, and comfortable working in a fast-paced setting, bringing strong organizational skills, professionalism, and a willingness to support administrative tasks using technology and AI to enhance resident care.
Start and End Dates: July 1, 2026 to August 28, 2026 (8 weeks)
Key Responsibilities:
- Learn and use different technologies to complete data entry and record management to support the maintenance of confidential resident, staff, and administrative records.
- Learn to use AI to complete administrative functions.
- Follow privacy, confidentiality, and retention policies.
- Provide timely, accurate information to residents, families, staff, and external partners.
- Answer phones, respond to emails, and direct inquiries to appropriate team members.
- Build rapport through active listening and maintain resident confidentiality, dignity, and autonomy in all interactions.
Qualifications:
- Secondary or post-secondary education with studies or experience in Office Administration, Business, Health Administration or other related fields.
- Basic computer literacy.
- Comfortable learning new software and digital tools.
- Strong organizational and time-management skills.
- Ability to handle multiple tasks and maintain attention to detail.
- Good verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Professional, friendly, and customer-service oriented.
- Ability to work independently and as part of a collaborative team.
- Compassionate, patient, and dedicated to enhancing the lives of seniors.
