Position description

Initially reporting to the Director of Advancement, and then to the Associate Director Donor Relations from July 1, 2026 onward, the Manager Advancement Services has primary responsibility for all gift processing, accounting and reporting. The incumbent will maintain and enhance the Advancement Office's donor and alumni database. The Manager Advancement Services provides for the administrative needs of the Advancement Office and is responsible for the Alumni Association's accounting. The incumbent is a person capable of exercising sound judgement, initiative and determination to follow through on their duties in an ethical and accurate manner. This position involves acting as liaison with the Bursar's Office and related departments in a high accountability environment.

Responsibilities

Gift Processing & Financial Management

  • Processes ~700 donations each year and effects control and consistency in the overall accounting and recording of all such gifts.
  • When required, accepts one-time cheque and credit card contributions.
  • Manages recurring gifts, pre-authorized payment donations, gifts made by payroll deduction.
  • Oversees transfers of gifts of shares, e-transfers and other giving vehicles.
  • Ensures the security of all funds received while in the custody of the Advancement.
  • Prepares and conducts all such deposits and prepares batch reports for the Senior Accounting Officer in the Bursar's Office.
  • Prepares letters of acknowledgement and tax receipts in a timely manner.
  • Responds to donor questions and concerns regarding gifts administration.
  • Logs gifts received by the University through its US Foundation.
  • Works with members of the Bursar's Office as required (daily, monthly, annually) to ensure accuracy in accounts and provide any required analysis for balancing.
  • Sets up new gift designations and requests new accounts from the Bursar's Office as required.
  • Advises others of available funds assigned to their departments and their designated purpose.

Database Management & Reporting

  • Works to ensure the integrity of the office database and office protocols regarding best practices.
  • Annually collects student data from other parts of the college, club lists, residence information, new student lists, parent information, withdrawals, academic awards, graduating class lists, etc.
  • Creates segmentation lists for Annual Fund mailings.
  • Liaise with external suppliers to ensure proper transfer of data for Annual Fund mailings.
  • Responsible for reporting and list generation from the Raiser's Edge database - including alumni lists, community lists, donor lists, prospect lists, and fundraising/participation reports.
  • Creates lists from the database for others such as necrology lists for the Board of Governors, Encaenia invitations and holiday cards and labels for the President's Office, TD Insurance Meloche Monnex, etc.
  • Sends community e-messages through Raiser's Edge.
  • Generates necessary reports to produce annual benchmarks and the annual Stewardship Report.

Office Management

  • Tracks Advancement's expenditures to budget, creates purchase orders, processes visa statements.
  • Reviews Advancement's monthly financial statements with the Controller, resolving issues or differences.
  • Reports on the breakdown of funds available for named student awards to the Enrolment and Student Life Office.
  • Supports the Bursar's Office in the yearly report for Canada Revenue Agency Charity Return.
  • Hires, trains and supervises 1-2 students (data entry) and prepares student payroll.
  • Collects, sorts and records incoming correspondence.
  • Supports the Coordinator, Alumni Impact & Engagement on budget preparation for the Alumni Association.
  • Prepares cheques, manages the bank account and works with auditors on the Alumni Association's year-end.
  • Provides support for special projects and events for Advancement management as required.

Qualifications

  • Post-Secondary education and/or equivalent work experience.
  • 2-5 years of experience in a gift or revenue processing role or equivalent.
  • Minimum 2 years of experience working in a fundraising environment.
  • Experience in post-secondary or professional services (accounting, consulting) is preferred.
  • Detail oriented with an ability to function and process information with high levels of accuracy.
  • Exercises a high degree of judgment in applying guidelines and policies.
  • Experience applying generally accepted accounting principles.
  • The ability to compose error-free donor correspondence/receipts.
  • Proficiency with Raiser's Edge NXT; extensive experience with alternative customer relationship management (CRM) database may be substituted.
  • Experience with integrated giving platforms (e.g. Benevity, CanadaHelps).
  • Proficiency in a network environment with Windows and a variety of software applications.
  • Ability to handle multiple tasks and competing priorities with exceptional attention to detail.
  • Ability to handle confidential matters with a high level of integrity.
  • Follows University policies related to gift acceptance and CRA charity guidelines.
  • A proactive approach with a "can-do", flexible attitude, able to work independently and as part of a team.

  • Includes comprehensive benefits with medical and dental; eligible for enrollment in the Nova Scotia Public Service Superannuation Plan (PSSP).
