The Client Services Coordinator is the main point of contact for property owners. This role is responsible for managing most owner communications, including emergency repairs, repair approvals for work exceeding $500, and obtaining and confirming quotes with outside vendors. The coordinator also follows up on work orders to ensure completion and updates owners as required.
This position acts as a central communication hub between property owners and the internal team. The Client Services Coordinator works closely with Property Managers, the Maintenance Manager, and the Operations Manager, directing information to the appropriate person and gathering updates to relay back to owners.
Additional responsibilities include:
Vetting tenant applications, including collecting income verification and landlord and employment references
Updating application statuses and summaries within the Buildium system
Communicating daily with the Operations Manager, Property Managers, and Maintenance Manager regarding any areas of concern
Representing the landlord during Tenancy Hearings when required. In these cases, the Property Manager is responsible for collecting evidence, serving tenants, and submitting documentation prior to the hearing. The Client Services Coordinator will communicate the results of the hearing to the owner.
Scheduling and coordinating maintenance with vendors and tenants as required.
This is a salaried position based on a 40-hour work week. The coordinator must be available Monday to Friday from 8:00 a.m. to 4:30 p.m., with flexibility to work outside these hours as needed.
